Summary:
The Procurement Specialist is responsible for managing subcontractor billings, ensuring compliance with subcontract documents, the tracking, updating and organization of various construction-related documents, including purchase orders, Certificates of Insurance, and WSIB certificates. The Procurement Specialist will ensure accurate billing, timely documentation, and smooth communication between subcontractors, vendors, and the project team.
Location: Clearway’s Head Office – Maple, ON
Hours of Operations: 8:00 am to 5:00 pm (EST)
Essential Duties & Responsibilities:
- Analyze specifications and construction drawings and complete/participate in completing construction plan, construction schedule, existing utility locates, material quantity takeoffs, material purchase orders and subcontracts;
- Work closely under the guidance and direction of Project Manager and Superintendent to learn Clearway Construction methods and contract administration systems;
- Monitor work on site, to ensure compliance with owner's standards, design procedures, contract specifications and building codes;
- Research solutions to design problems, including conflicts, unidentified existing interference and errors/omissions;
- Assist Project Manager and Superintendent, where applicable, in the day to day duties of contract administration;
- Coordinate with subcontractors in requesting and following up on shop drawing submittals, additional work pricing and design submittals;
- Assist Project Manager in maintaining accurate and up-to-date logs (Shop drawings, RFI, RFQ, Purchase Orders, etc.), track responses and keep Project Manager and Superintendent up to date of the status;
- Assist in creating and updating as-built and maintenance manual documents;
- Perform analysis of owner/engineer and subcontractor change requests to ensure compliance with contract documents and specifications;
- Attend internal coordination and project meetings as requested/required;
- Coordinate and complete project records, including but not limited to daily reports, site photos, locates, timesheets, packing slips, cost coding etc.
- Assist project team in ensuring compliance to H&S regulations and policies including but not limited to incident reports, weekly inspections, maintaining H&S documentation such as traffic control, permits, and engineered drawings
- Notify the project superintendent of any safety violations observed on site.
- Complete additional assignments and responsibilities as requested by Senior Management;
Requirements:
- Post-Secondary Education/College Diploma preferred
- Experience within the construction industry considered an asset
- Excellent knowledge of MS Office Word and Excel
- Experience with Jonas Construction Software considered an asset
- Detail oriented, and able to multi-task under the pressure of deadlines
- Strong interpersonal and communication skills
- Effective time management and organizational skills
- Proven ability to work independently and within a team environment
- Must be legally eligible to work in Canada – no work permit sponsorship is available for this position.
