Position Status: Full Time, Permanent (40 hours/week)

With a decentralized network of 9 METI-Service Centres, a Corporate Head Office in Edmonton, and two mobile service units; RLI designs and delivers training and education services to more than 140,000 Alberta Métis.

The Opportunity 


Rupertsland Institute is seeking a Program Support Coordinator to join us in our Edmonton office. Reporting to the Director of Education, Training and Research, this position provides high-level administrative, program, and project coordination support to senior leadership and cross-functional teams. This role supports the effective planning, implementation, and monitoring of complex programs and initiatives through strong senior-level administration, coordination, document development, and communication support. The successful candidate will be detail-oriented, highly organized, and efficient, with strong time management skills and communication skills.


 


Key Responsibilities:



  • Provide administrative and program support to the Director and Senior Leadership team, including calendar management, meeting coordination, agenda preparation, and tracking follow-up actions.

  • Prepare, edit, and format professional documents such as briefing notes, reports, correspondence, proposals, and governance materials.

  • Coordinate meetings, workshops, and events, including logistics, materials, minutes, and records of decision.

  • Assist in the planning, coordination, and delivery of major events undertaken by Rupertsland Institute, including logistical, administrative, and on-site support as required.

  • Maintain accurate and well-organized electronic and physical records in accordance with organizational standards and policies.



  • Support planning and coordination of multiple programs and initiatives, including tracking timelines, milestones, and deliverables.

  • Assist with work plans, schedules, task tracking, and progress reporting.

  • Coordinate with internal teams and external partners to support timely program delivery.



  • Monitor activities and flag risks, issues, or emerging priorities to leadership.



  • Draft clear, professional written communications for internal and external audiences.

  • Develop and format presentations and briefing materials for senior leadership, Boards, funders, and partners.

  • Support preparation of reports and updates for executive leadership and governance bodies.

  • Utilize advanced computer and software skills, including Microsoft Word, Excel, PowerPoint, Outlook, and collaboration platforms.

  • Develop and maintain tracking tools, spreadsheets, and basic data summaries to support planning and reporting.

  • Support document control, version management, and shared system organization.

  • Act as a trusted point of coordination across departments and portfolios.

  • Handle confidential and sensitive information with professionalism and discretion.

  • Identify and support improvements to administrative, coordination, and reporting processes.

  • Other duties as required or assigned.


 


Skills and Competencies:



  • Strong attention to detail and commitment to data accuracy.

  • Timely and accurate completion of administrative and program support deliverables.

  • Excellent organizational, time management, and multi-tasking skills.

  • Effective coordination of meetings, projects, and work plans.

  • Strong communication skills with excellent verbal, written, and listening abilities to effectively document and provide information to clients, staff, and external agencies.

  • Maintenance of organized, compliant, and accessible records and systems.

  • Ability to manage administrative tasks in a fast-paced, high-volume environment.

  • Ability to work independently and collaboratively in a fast-paced environment with minimal supervision.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Explorer, PowerPoint) and willingness to learn new software programs.

  • Knowledge of privacy legislation (FOIP, PIPA) and commitment to confidentiality and ethical standards.

  • Cultural sensitivity and awareness, including an understanding of Métis culture and social, economic, and employment barriers faced by Indigenous individuals.


 


Qualifications:



  • Diploma or degree in Office Administration, Business Administration, Project Management or related field is preferred. Relevant experience or training will be considered.

  • Minimum of five (5) years of experience in Senior Administrative, Program Support or Project Coordination role.

  • Experience in non-profit or Indigenous organizations is an asset.


 


Other Requirements:



  • Ability to work a regular schedule of 8:30am-4:30pm Monday to Friday.

  • Ability to work evenings and weekends, as required.

  • Ability to travel throughout Alberta, as required.

  • Valid driver’s license and reliable transportation.

  • Submission of a clear Vulnerable Sector Police Information Check.
