What does success look like in this role?
- Coordinate logistics for client engagements, including workshops, meetings, and working sessions (in-person and virtual)
- Manage complex scheduling across multiple stakeholders, time zones, and client environments
- Build and maintain strong working relationships with Executive Assistants and client stakeholders
- Navigate client organizations effectively, understanding who’s who and how to get things done
- Support multiple concurrent engagements, quickly switching context and priorities as needed
- Organize and manage details such as room bookings, AV setup, catering, access requirements, and materials
- Determine the most effective format for engagements (in-person vs. virtual) based on context and needs
- Anticipate challenges and proactively resolve coordination issues before they arise
- Maintain a high standard of accuracy and attention to detail across all coordination activities
- Act as a central point of coordination across teams, ensuring alignment and smooth execution

- Experience in a coordination-heavy role (Project Coordinator, Executive Assistant, or similar)
- Proven ability to operate effectively in complex, fast-paced environments
