Summary

The Project Manager supports Coegi's organization, coordination, and internal management of client accounts and cross-functional initiatives — owning processes, systems, documents, timelines, assets, and relationships across an assigned portfolio. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable taking ownership with limited supervision, moving fluidly between recurring operational work and project-based initiatives.

This role suits candidates with experience in project coordination, PM, business analysis, PMO support, or process improvement who want to grow their project management skills. Agency or digital media experience is valuable but not required for candidates with strong transferable organizational and analytical skills. Opportunities exist to support process improvement, automation, and AI-enabled internal transformation initiatives.

Essential Duties and Responsibilities

• Timeline & Task Management: Own project plans, timelines, tasks, and dependencies — proactively flagging delays and keeping deliverables on track.


• Asset & Communication Management: Maintain accurate project information in Asana and related tools; keep teams aligned across email, Slack, and meetings.


• Process Ownership: Take ownership of recurring workflows and admin processes end-to-end, escalating issues and gaps as needed.


• Billing & Budget Support: Support monthly billing, budget tracking, rollover under/overspend, and scope/contract administration.


• Meeting Management: Coordinate internal and client meetings, prepare agendas, capture decisions/action items, and drive follow-through.


• Order Intake & Launch Readiness: Manage order intake, campaign setup, and data entry with high accuracy; support QA and launch readiness.


• Requirements & Business Analysis: Gather and document requirements, process maps, and decision logs alongside business and functional stakeholders.


• Project Coordination: Support or lead internal projects from discovery through implementation, tracking risks, issues, and decisions.


• Process Improvement: Identify opportunities to simplify, standardize, or automate workflows; contribute to process documentation.


• AI & Automation Adoption: Use agency-supported AI/automation tools to improve productivity and documentation; help test and adopt new workflows.


• Cross-Functional Collaboration: Build strong working relationships across Client Engagement, PM, Finance, Data & Technology, Programmatic, and Social.


• PMO Contribution: Contribute practical recommendations to Coegi's evolving PM templates, tools, and processes.

Supervisory Responsibilities: None.

Qualifications

• Education & Experience: Bachelor's degree (marketing, statistics, business, advertising, or communications preferred) or equivalent experience. At least one year of experience, preferably in an agency environment with exposure to digital campaign management, programmatic bidding, and/or social advertising.


• Skills: Experience with project management systems (e.g., Asana) and time-tracking platforms; familiarity with paid media platforms (The Trade Desk, DV360, Meta Ads Manager, LinkedIn) a plus. Proficiency in Microsoft Office and Google Workspace. Comfort using AI tools to improve productivity.


• Traits: Exceptional written and verbal communication; highly organized, detail-oriented, and deadline-driven; analytical mindset; proactive self-starter; able to manage multiple projects in a fast-paced environment.


• Licenses / Certifications: None required.

Travel & Work Environment

Regular in-person client presence in Toronto is expected, with periodic travel to Coegi U.S. offices or client/industry events. This role requires prolonged periods of sitting and computer work, with frequent use of hands/fingers and occasional standing and walking.
