Job Description - Property Management and Housing Support Coordinator

The Mustard Seed is committed to helping people experiencing homelessness transition to and maintain healthy, sustainable lifestyles. Reporting to the Property Management Supervisor, the Property Management and Housing Support Coordinator supports property management operations, tenant communication, maintenance coordination, and policy compliance to help maintain a safe, clean, and healthy living environment. This role also provides operational and administrative support, responds to tenant concerns, and contributes to consistent service delivery and effective site operations. In addition, the role supports the physical, emotional, social, and spiritual well-being of residents in Permanent Supportive Housing, working collaboratively with their support systems to promote independence, community engagement, and housing stability.
DUTIES AND RESPONSIBILITIES:
Oversee Tenant Management according to the RTA and The Mustard Seed Policies
Oversee the appropriate maintenance of The Mustard Seed housing properties in Red Deer and ensure compliance with codes, municipal bylaws and tenancy license standards
Build strong working relationships with community agencies and network
Communicate available rentable space accurately and market all vacancies
Arrange and conduct interviews with prospective tenants
Schedule and conduct move-in and move-out as required
Collect rent and deliver notices to tenants
Submit maintenance requests to facilities team
Conduct room inspections
Communicate regularly with tenants on issues affecting the property
Respond to general day-to-day enquiries and concerns from tenants, verbally or in writing, and redirect specific enquiries, problems or complaints as required
Engage in intentional interaction with residents to build rapport and foster community
Connect with a specified group of residents living in supportive housing on an on-going basis to assist in building the skills of daily living
Provide information about community supports
Support the working relationship between the resident and their support network
Refer the resident back to their Case Worker whenever possible/necessary and ensure there are clear lines of communication with outside organizations who serve the residents
Coordinate referrals for residents to internal Mustard Seed programs and external community services and collaborate with service providers to support resident needs and continuity of care
Document resident interactions, resident referrals, progress and any change in behaviour
Process tenant paperwork in the Property Management System (tenant move-in and move-outs, renewals, etc.)
File, scan and update physical and electronic files, ensure that all documentation is filed in an accurate and timely fashion
Report monthly rent collections to Finance department
Track statistics and prepare reports as required
Abide by all Health & Safety protocols including completing a report for all incidents that occur, including near misses, in a timely manner
Welcome and support volunteers when necessary
Other duties as required
MINIMUM QUALIFICATIONS AND SKILLS
Minimum of 1 year experience in property management or administrative role
Accreditation in CPM or RECA an asset
Knowledge and experience with Property Management software platforms or RealPage an asset
Experience with client engagement and providing support within supportive housing or human services, with the ability to build rapport, address resident concerns, and promote housing stability through appropriate service connection and follow-up, including coordinating access to internal and external service
Strong work ethic, ability to work independently with minimal supervision, take initiative, and manage multiple priorities at once
Organizational, administrative and computing skills (proficiency in Microsoft Office)
Strong oral and written communication skills
Ability to work within a cross functional team
Ability to demonstrate professionalism in stressful situations including experience in active listening, de-escalation techniques, and working with a high-risk population
Ability to exercise confidentiality
A passion to be part of ending homelessness in Alberta and understanding of homelessness and desire to work with marginalized individuals
Valid Class 5 Driver’s License and Driver’s Abstract required
WORKING CONDITIONS
Flexibility to work evenings and weekends as required, including responding to on-call situations as needed
Moderate physical effort: sitting, lifting, standing, walking, using a computer and cell phone
Moderate to intense mental effort; may encounter acute situations involving clients
Daily interactions with colleagues and tenants
Employees are to be aware that many of our clients may experience difficulties or impairment at times, which could result in them uttering threats, discriminatory statements, and other insults at your person. This may be a raised voice or in seeing unpredictable behaviour up to and including the possibility of them becoming aggressive
Training on how to respond is provided, but this is considered typical working conditions. Many of our clients are unaware of the impact of these comments.

Must have legal authorization to work in Canada on a full-time basis for anyone other than current employer
This position requires the use of a company vehicle. Candidate must have and maintain valid driver’s licence and will need to consent to a driver’s abstract request.
