Job Description - Records Analyst

Status: Temporary, Full-Time
Term: March 2026 - March 2027 (This is a temporary role with the possibility of extension)
 Work Location: Hybrid, Vancouver B.C. (a minimum of 2 days in office)

The British Columbia College of Nurses & Midwives (“BCCNM”) is the college empowered under the Health Professions Act to regulate the practice of all licensed practical nurses, nurse practitioners, registered midwives, registered nurses, and registered psychiatric nurses in British Columbia. The expected starting base salary for this position is $80,282 - 83,858 annually, depending on a variety of factors including qualifications and experience. Once hired, you will progress through a wider salary range over time as you continue to develop job knowledge, skills and competencies for the role.

What you’ll be doing


The Records Analyst (RA) is a project-oriented role dedicated to the successful delivery of the Documents and Records Management stream within the Core Regulatory Transformation (CRT) program, which is a core component of BCCNM’s multi-year Business Transformation (BT) initiative.


The RA’s primary objective is to contribute to the implementation, testing and adoption of the College’s new CRM and Information Management System. To ensure these new systems meet organizational needs, the RA will work closely with the IGR team to gain in-depth understanding of BCCNM’s records lifecycle, including the creation, maintenance, retention, and destruction of physical and digital assets, before shifting focus to project deliverables. This foundational knowledge will directly inform the RA’s project work, ensuring that system configurations and information access security protocols align with both legislative requirements and practical staff needs.


Key responsibilities include:



  1. Under the guidance of the Manager, IGR, collaborates with business partners to provide records and information management services, gaining deep insight into current guidelines for record maintenance, retention, and protection.

  2. Gains understanding and analyzes the College’s legacy information management systems to understand functional requirements, ensuring that future-state solutions maintain or exceed current compliance with legislative and regulatory standards.

  3. Applies professional standards for metadata and classification to ensure documents are filed in a logical, accessible, and retrievable manner.

  4. Conducts appraisals of analogue and digital records to determine administrative, fiscal, and legal value; facilitates authorized destruction in accordance with approved retention schedules.

  5. Partners with project team members to identify, document, and validate functional requirements for records management using Microsoft technologies (e.g., content types, metadata, search, and automated workflows).

  6. Advises on the application of the Records Retention Schedule to new system data, collaborating with information owners to validate retention categories within the new digital framework.

  7. Assists with the configuration and rigorous testing of information architecture and document migration pathways based on approved design decisions.

  8. Identifies and communicates technical or process risks relating to the new Information Management System and its integration with the CRM; contributes to active problem-solving and risk mitigation.

  9. Participates in requirement analysis, user acceptance testing (UAT), end-to-end testing, Hypercare, and post-go-live support phases to ensure a seamless transition.

  10. Demonstrates a commitment to ongoing learning related to Indigenous cultural safety and humility and supporting organizational actions towards addressing Indigenous-specific racism in BC’s health care system.


Your education & skills â€‹



  • University degree in Archival Studies, Library and Information Science, or a related field supplemented by specialized coursework in records management. An equivalent combination of education, training and experience will also be considered.

  • Minimum 3 years of progressive experience in records, archives, and information management.

  • Demonstrated hands-on experience with Microsoft SharePoint Online is required.

  • Experience participating in or implementing large-scale records projects and transformative IT initiatives is highly preferred.

  • Deep understanding of records management principles and best practices such as GARP, ISO 15489, and ISO 23081, as well as relevant provincial/federal privacy and records legislation.

  • Proven experience conducting functional analysis of records, developing complex file plans, and identifying vital records for business continuity.

  • Demonstrated self-starter and critical thinker with excellent analytical and problem-solving skills.

  • Strong organizational and time management skills and attention to detail.

  • Ability to work effectively under pressure and meet strict project deadlines while managing competing tasks from multiple stakeholders is required.

  • Highly developed interpersonal and communication (oral and written) skills, with the ability to translate complex technical concepts for diverse audiences is required.

  • Knowledge of Canadian colonial impacts on Indigenous people in social and health contexts, including social, economic, political, and historical realities impacting Indigenous communities and knowledge of Indigenous-specific anti-racism and accompanying reports (e.g. The Truth & Reconciliation Commission’s 94 Calls to Action (2015), the In Plain Sight Report (2020), and Reclaiming Power and Place’s Calls for Justice (2019)) is an asset.

  • Demonstrated understanding of equity, diversity, inclusion, and cultural humility as they apply to health care is an asset.
