Reports To: Operations Manager 


Compensation: CAD 65-85K

Job Description 


Operations Coordinator – Office Support 


The Operations Administrator provides practical, user-centered support that keeps Canopy’s Vancouver head office running smoothly. The role focuses on office-based operations, including facilities management, shipping and receiving, physical asset management, procurement, meetings, and event logistics. 


Working closely with the IT Coordinator and other Operations team members, the Operations Administrator supports staff with day-to-day operational and basic technology needs and helps ensure coverage across core work streams such as systems onboarding, events, and travel. 


Grounded in the Operations Team’s service philosophy, this role delivers reliable, solutions-oriented support that helps Canopals do their work effectively. Success in this role means the office runs smoothly, staff know where to go for help, and systems and processes are easy to use.  


 


CORE RESPONSIBILITIES 


Office Operations & Facilities 



  • Take primary responsibility for the day-to-day functioning of the Vancouver office, ensuring it is tidy, stocked, safe, and welcoming. 



  • Manage office supplies, printing, and physical assets, including inventory tracking, and maintaining an organized physical asset library. 



  • Coordinate mail, shipping, and receiving, including tracking deliveries and outgoing shipments. 



  • Coordinate waste, recycling, and basic facilities needs, and flag larger issues to the Operations Manager. 



  • Carry out health and safety procedures, including emergency preparedness tasks and basic office compliance requirements. 


Operations & Workplace Coordination 



  • Manage procurement requests using established tools and processes, coordinating with vendors as needed. 



  • Provide logistical and administrative coverage for office-based needs, including meeting setup and workspace coordination. 



  • Contribute to sustainability practices in daily office and event operations. 


Systems & Basic IT 



  • Help staff use organizational systems effectively through guidance, documentation, and basic troubleshooting. 



  • Assist with systems onboarding for new staff by orienting users to core tools, following established processes. 



  • Participate in user acceptance testing (UAT) by completing defined testing steps and reporting any issues to system owners. 



  • Maintain and update internal “how-to” documentation related to office systems and tools. 


Supporting Responsibilities 


Events, Meetings & Travel Coverage 



  • Support logistics and coordination for internal and external meetings and events, including preparing materials, setting up rooms, arranging catering or vendors, and providing on-the-day assistance. 



  • Manage webinar setup and invitations and assist with basic technical troubleshooting during delivery. 



  • Backfill business travel coordination during busy periods by booking flights and accommodations using established tools and processes. 



  • Assist with travel visa requests  


QUALIFICATIONS 


Essential Requirements 



  • At least 1 year of experience in an administrative, office coordination, or operations role. 



  • Demonstrated ability to manage day-to-day tasks in a busy, in-person work environment. 



  • Able to work confidently with common workplace applications such as Google Suite, Microsoft Office, Asana and Dropbox, and learn new tools by following documentation and established processes. 



  • Strong organizational skills and attention to detail, with the ability to manage multiple requests and shifting priorities. 



  • Ability to work independently on routine tasks and recognize when escalation is needed. 



  • Excellent written and verbal communication skills. 



  • Ability to maintain discretion and handle sensitive information appropriately. 



  • A calm, professional, and service-oriented approach. 



  • Demonstrated ability to think critically, connect information, and solve unfamiliar or moderately complex problems independently. 


Related or Transferable Experience 



  • Experience supporting systems onboarding, user access, or basic application support under established processes. 



  • Experience in maintaining inventories, coordinating logistics, or supporting facilities and office operations. 



  • Experience assisting with data quality through routine updates, basic cleanup, or maintaining existing documentation. 



  • Experience supporting meetings, events, or travel coordination. 


Nice to Haves 



  • Experience working with nonprofit or mission-driven organizations. 



  • Familiarity with CRM, project management, or collaboration tools in a support capacity. 



  • Interest in learning more about operations, systems, or workplace coordination over time.
