What you’ll be doing:


Our Resource Development (RD) team is growing to support Momentum’s fundraising and strategic goals. As the Resource Development Administrator, you’ll play a key role in securing the revenue needed to drive this work forward.


 


In this new role, you will provide essential administrative support for fundraising and resource development activities. You are highly organized, proactive, and skilled at managing multiple tasks efficiently. From maintaining accurate donor records to supporting fundraising events, you ensure everything runs smoothly. You’ll also build positive, lasting relationships with donors, volunteers, community organizations, and colleagues – helping to strengthen Momentum’s development efforts.



Key Areas of Responsibilities:



  • Resource Development Administration

    • Provide general administrative support to the Resource Development team, preparing materials, coordinating mailouts, and maintaining shared calendars

    • Schedule team meetings, prepare agendas, take minutes, and track follow-up actions

    • Maintain clean and organized SharePoint folders and shared assets

    • Order supplies and coordinate logistics for RD activities and events

    • Support the maintenance of all data, within Raiser’s Edge and related systems, including data entry, updates, and quality checks

    • Support portal submissions, template creation, and task management for proposals and donor reporting



  • Administrative Support for the Director of Strategy

    • Provide general administrative support including calendar maintenance

    • Process and submit expense claims and support related financial administration

    • Support project management activities, including creating and maintaining tasks, tracking progress, and completing project-related tasks as directed

    • Assist in maintaining organized project documentation and shared files in support of the Director's work



  • Donor Stewardship & Event Support

    • Support stewardship activities such as milestone recognition and internal donor events (e.g., Thank‑a‑Thon, round tables, graduations, and other gratitude events)

    • Support the RD team to deliver a successful Annual Breakfast fundraiser and other third-party fundraising events.

    • Assist with mailouts such as new donor packages, holiday cards, and donor volunteer materials



  • Government & United Way of Calgary & Area Funding Administration

    • Monitor for relevant RFPs and funding opportunities and conduct initial alignment screening

    • Maintain government funding tracking and forecasting tools

    • Support portal submissions, template creation, and task management across the full funding cycle

    • Maintain accurate and current Activity and Communication records in Raiser’s Edge for government and United Way of Calgary & Area

What you will need to do the job well:

  • Strong interpersonal, communication, organizational and administrative skills.

  • Ability to manage multiple tasks and deadlines, prioritize, and take initiative.

  • Extensive knowledge and understanding of office procedures, including records management, email and calendar software applications, and meeting coordination.

  • Strong computer skills, including experience with Microsoft Office, Word, Adobe, Excel, and PowerPoint.

  • Experience working in or overseeing a team project management tool (Asana, Monday, Basecamp etc.)

  • Experience with fundraising databases (Raiser’s Edge) is an asset and in mass communication platforms (Mailchimp) is an asset.

  • Capable of working in a self-directed manner and collaborating in a team environment.

  • Experience in supporting event delivery is an asset.

  • Knowledge of poverty reduction and community economic development (CED) is an asset.

  • Office administration experience or equivalent professional or other relevant lived experience.
