Sales Associate

Zodiac Light Waves is looking for a detail-oriented Sales Associate to support our sales team. This is an inside, sales-support role. You’ll keep our CRM accurate and up to date, prepare quotes, review tenders and RFPs, and help make sure no lead, deal or deadline slips through the cracks.

Our clients are mostly retirement homes, long-term care communities, healthcare organizations and commercial businesses. We provide IT, networking, Wi-Fi, phone systems, nurse call, CCTV, access control and managed technology services. This role suits someone who’s organized, enjoys the detail work behind a sale, and wants to grow in the technology sector.

What You’ll Do

CRM and pipeline management

• Keep leads, contacts, accounts and deals up to date in Zoho CRM
  
• Update deal stages, notes, next steps and follow-up dates so the pipeline stays accurate
  
• Prepare pipeline and activity reports for the sales team
  
• Spot stalled deals or overdue follow-ups and flag them to the team
  

Quotes and proposals

• Generate quotes using our pricing, bills of materials and design information
  
• Check quotes for accuracy before they go out
  
• Help put together proposals, pulling in scope, pricing and supporting documents
  
• Track sent quotes and follow up on their status
  

Tender and RFP review

• Review tenders, RFPs and RFQs, and pull out key requirements, deadlines, mandatory forms and submission instructions
  
• Summarize each tender for the sales team so they can decide whether to bid
  
• Coordinate with Design and Project Management to gather what’s needed for a bid
  
• Build and track a tender calendar so no submission deadline is missed
  
• Assemble and check bid packages before submission
  

Sales and customer support

• Follow up with prospects and customers by phone and email
  
• Help schedule customer meetings and site visits for the sales team
  
• Help maintain our online shop (product listings, pricing, orders)
  
• Support digital marketing and take part in sales and marketing meetings
  

Requirements

• 1–2+ years of experience in sales support, sales coordination, inside sales or a similar administrative role
  
• Strong attention to detail and accuracy, especially with numbers and pricing
  
• Excellent organization and time management, with the ability to manage multiple deadlines
  
• Experience keeping CRM records up to date
  
• Proficient in Microsoft Excel, Word and Outlook (or Google Workspace)
  
• Clear, professional written and verbal communication in English
  
• Able to work fully in office in Ottawa (Orléans)
  
• Legally entitled to work in Canada
  

Assets (nice to have)

• Experience with Zoho CRM
  
• Experience reviewing tenders, RFPs, RFQs or bid documents
  
• Background in IT, managed services, telecom, construction or low-voltage
  
• Experience in the healthcare or senior living sector
  
• College diploma or university degree in business, marketing or a related field
  
• French language skills
