Senior Production Coordinator

• Provide daily and weekly reports to the Line Producer with a regularly updated list of priorities
• Provide status updates (deliverables, quotas, targets) to Producers based on the existing schedule
• Ensure that naming conventions are strictly followed across all departments and phases of production
• Assign appropriate due dates to artists based on the established production schedule
• Maintain report databases which show what shots were delivered on which days, etc.
• Work with Department Managers to ensure accurate artist assignments
• Ensure clear notes are provided for artists for every assignment
• Take notes at meetings and disseminate to the team within 8 hours (or less)
• Coordinating meeting schedules with crew, clients, partners and vendors in different time zones
• Ensure all tasks are assigned and tracked via Flow Production Tracking (fka Shotgrid)
• Act as liaison between departments keeping in constant communication with all relevant parties adhering to strict deadlines and delivery dates
• Kickoff projects with Artists and go over how they should be reviewing and uploading to Flow Production Tracking (fka Shotgrid), submitting and saving their work etc.
• Notify Producer of any possible delays to schedule / late deliveries with as much advance notice as possible
• Assist the Producers, Directors, and the Production Managers on all areas of production (including admin support) as required and requested
• Enter, maintain and track all production data such as designs, scripts, storyboards, CG models, sets, backgrounds, layout, animation, FX, etc.
• Prepare and distribute casting materials such as sides, scripts and artwork (if applicable)
• Create and distribute production reports
• Schedule any necessary meetings and reviews, ensuring that preparations are made to facilitate these sessions
• Align and engage with Kickstart’s core values
• Interact respectfully and professionally with colleagues, other staff members, partners and clients
• Additional duties as requested

• 4+ years industry experience 
• 2+ years working on animated series productions as a Senior Production Coordinator
• Working knowledge of Flow Production Tracking (fka Shotgrid, Shotgun)
• Proficiency in Google Workspace and associated apps (Gmail, Calendar, Sheets, Docs), and using a Mac
• Experience in 2D & 3D animation
• Strong project management skills and an ability to adapt to changing priorities
• Must be capable of working independently or as part of a team
• Demonstrates initiative, is a problem solver, knows when to escalate issues
• Must have strong communication (both verbal and written) and interpersonal skills
• Ability to maintain confidentiality
• Solid work ethic and positive attitude
• Efficient, detail-oriented, strong organizational skills
• Ability to deliver work on time and meet established performance objectives
