Senior Property Manager, Team Lead

About the Role
Larlyn Property Management is seeking an experienced and driven Senior Property Manager, Team Lead to join our Ontario condominium management team.
This role is ideal for a CMRAO General Licensed Property Manager who is confident managing their own portfolio while also providing leadership, training, and support to a team of Property Managers. The successful candidate will be responsible for overseeing a portfolio of condominium corporations, supporting Board relations, managing budgets, ensuring operational excellence, and helping guide Property Managers in meeting service, compliance, and reporting expectations.
As a Team Lead, you will play an important role in supporting day-to-day portfolio operations while also coaching team members, sharing best practices, and helping maintain consistency across the property management team.
Key Responsibilities
Portfolio Management
- Manage a portfolio of residential condominium corporations, including townhouse and high-rise communities.
- Act as the primary point of contact for Boards of Directors, owners, residents, contractors, and other stakeholders.
- Prepare for and attend Board meetings, Annual General Meetings, town halls, and other required meetings.
- Ensure timely follow-up on Board directives, resident concerns, contractor matters, and operational issues.
- Oversee day-to-day property operations, maintenance coordination, service contracts, and building-related concerns.
- Conduct regular site visits and inspections to ensure properties are maintained to Larlyn’s standards.
- Escalate complex or high-risk matters to senior leadership as required.
Financial and Budget Responsibilities
- Prepare, review, and manage annual condominium budgets in collaboration with Boards and internal accounting teams.
- Monitor operating expenses, reserve fund planning, arrears, and financial performance for assigned corporations.
- Review monthly financial statements and provide guidance or explanations to Boards as needed.
- Support tendering, contractor pricing reviews, purchase orders, and invoice approvals.
- Ensure financial decisions align with Board approvals, condominium budgets, and applicable requirements.
Team Lead, Training and Coaching
- Provide guidance, coaching, and day-to-day support to Property Managers within the team.
- Assist with onboarding and training Property Managers on portfolio management processes, Board relations, reporting requirements, and operational best practices.
- Support consistency in service delivery, documentation, communication, and deadline management across the team.
- Help identify training needs and provide practical support to improve performance and independence.
- Act as a resource for Property Managers when navigating complex resident, Board, contractor, or operational matters.
- Support leadership with workload planning, portfolio coverage, and process improvements.
Compliance and Operations
- Ensure properties are managed in accordance with the Condominium Act, CMRAO requirements, Board directions, management agreements, and company policies.
- Support fire safety, insurance, contract, maintenance, and building compliance follow-ups.
- Coordinate with contractors, service providers, site staff, and internal departments to ensure timely completion of work.
- Ensure monthly reporting, Board packages, minutes, action items, and operational deadlines are completed accurately and on time.
Qualifications
- CMRAO General Licence is required.
- Minimum 5 years of condominium property management experience preferred.
- Experience managing a diverse condominium portfolio, including townhouse and high-rise communities.
- Previous leadership, team lead, mentoring, or training experience is considered a strong asset.
- Strong knowledge of condominium operations, Board governance, budgets, reserve funds, contractor management, and compliance requirements.
- Proven ability to manage multiple priorities, deadlines, and stakeholder expectations.
- Strong communication, problem-solving, conflict resolution, and negotiation skills.
- Ability to support and coach team members in a professional, practical, and collaborative manner.
- Proficiency in Microsoft Office, including Word, Excel, and Outlook.
- Yardi experience is considered an asset.
- Strong commitment to customer service, accountability, professionalism, and continuous improvement.
- Must have a valid Ontario G driver’s licence and access to a reliable vehicle for site visits and portfolio-related travel
