Job Description - Service Administrator

A Key Support Role in a Growing, Purpose-Driven Organization



LMMW Group Ltd. (www.LMMW.ca) is seeking a capable and motivated Service Administrator to join our Dartmouth, NS-based team. This role is well suited to individuals with administrative, customer service, or coordination experience who enjoy working in a fast-paced, professional environment and take pride in delivering responsive, high-quality support. Whether you are building on early experience or bringing established administrative skills, this position offers the opportunity to contribute meaningfully while continuing to develop professionally within a growing organization. LMMW is an energy, facility, and training services company operating under the trusted L360 and E360 Institute brands. Partnered with Lindsay Construction, we help clients reduce energy costs, improve operational efficiency, and optimize building and people performance across a wide range of facilities.



About the Role


Reporting to the Client Services Manager, the Service Administrator plays an important role supporting clients, subcontractors, and internal teams. The position combines administrative support, service coordination, document control, reporting, and general business support, with exposure to multiple areas of the organization. This role is ideal for someone who is organized, proactive, detail-oriented, and comfortable balancing multiple priorities while working collaboratively with others.



Key Responsibilities


Administrative & Client Support



  • Support client accounts, service requests, and projects with accurate documentation and prompt follow-through

  • Maintain organized electronic records and assist with billing and administrative processes


Communication & Coordination



  • Communicate professionally with clients, suppliers, and subcontractors by phone and email

  • Coordinate service requests, dispatch activities, and internal resources to meet client needs

  • Work closely with multiple departments to support project delivery and timelines


Document Control & Reporting



  • Prepare reports related to on-site inspections and assessments

  • Maintain document control within internal sales and project management systems


Team & Business Support



  • Assist with the preparation of proposals and quotations

  • Provide administrative support for marketing initiatives, jobs and work orders

  • Support executive and team administrative needs, as required



Qualifications & Experience

  • A high school diploma and relevant post-secondary education, or equivalent professional experience

  • Experience in administration, customer service, office coordination, or a related role (asset)

  • Strong organizational and communication skills with a high level of attention to detail

  • A proactive, solutions-oriented mindset

  • The ability to work independently while contributing positively to a team environment
