Job Description - Service Coordinator

About the Role


We are seeking a highly organized and customer‑focused Service Coordinator to support our Retail Propane service operations. This role is responsible for coordinating service schedules, maintaining accurate service documentation, and acting as a key communication link between customers, technicians, and operations.


The successful candidate will thrive in a fast‑paced environment and bring strong attention to detail, technical aptitude, and problem‑solving skills.



What You’ll Do


Service Coordination



  • Schedule and dispatch service technicians efficiently based on priority and availability

  • Create and maintain accurate service orders, including labour, parts, and equipment

  • Track open work orders and follow up to ensure completion


Customer Experience



  • Book and confirm service appointments with customers

  • Communicate scheduling updates, arrival times, delays, or additional requirements

  • Respond to service‑related customer inquiries professionally and accurately


Documentation & Invoicing Support



  • Review completed service orders for accuracy and completeness

  • Ensure documentation supports timely and accurate invoicing

  • Follow up with technicians to resolve missing or unclear information


Operational Support



  • Provide support to propane delivery operations as needed

  • Participate in after‑hours on‑call rotation for service and delivery coordination

  • Assist with continuous improvement initiatives


Systems & Compliance



  • Use industry systems such as Vertrax and SmartDrops (experience considered an asset)

  • Maintain accurate records in accordance with company procedures

  • Support compliance with TSSA regulations, industry standards, and safety requirements



What We’re Looking For



  • Experience in service coordination, dispatching, or administrative support

  • Strong written and verbal communication skills

  • Excellent organizational and time‑management skills

  • Ability to manage multiple priorities independently

  • Proficiency with Microsoft Office (Outlook, Excel, Word, Teams)

  • Strong analytical and problem‑solving abilities


Preferred Qualifications



  • Experience in propane, energy, or a related technical industry

  • Knowledge of propane equipment and fixed assets

  • Familiarity with TSSA requirements and safety protocols

Work Environment
