Job Description - Strategic Projects & Operations Coordinator

About the Role


The Strategic Projects and Operations Coordinator is a full-time role (until March 2027) that supports project coordination, organizational systems, partnerships, and communications across Mokami.

This role builds on two years of organizational capacity strengthening and plays a key part in implementing Year 1 of our strategic plan, with a focus on activating the systems, tools, and foundations developed to support our continued growth. The position also includes coordinating project finances such as tracking expenses, supporting reporting, and ensuring alignment between spending, deliverables, and funder requirements.

Working closely with consultants, community partners, and the Mokami team, the Coordinator will help embed sustainable practices across the organization. This role is ideal for someone who enjoys variety, is comfortable with change, and thrives in a small, relational, values-driven environment.



Key Responsibilities



  • Coordinate and track project activities and timelines

  • Liaise with external consultants to follow up on deliverables and clarify next steps

  • Support implementation of the strategic plan across teams

  • Provide practical support to program coordinators and the board

  • Assist the Executive Director (ED) with project-related administrative tasks

  • Support fundraising activities, including drafting materials, tracking deadlines, and preparing documents

  • Manage and monitor the project budget, including tracking expenses, preparing summaries, and arranging vendor payments

  • Maintain organized project files, calendars, and communications

  • Prepare reports, summaries, and updates for the ED, funders, and board of directors



Qualifications
Required



  • Experience in administration, coordination, or project support

  • Strong organizational and communication skills

  • Ability to manage multiple tasks and timelines

  • Comfort with digital tools (e.g., Google Workspace, Canva, BambooHR), or willingness to learn

  • Understanding of trauma-informed, feminist, and anti-oppressive practices

  • Ability to work both independently and collaboratively

  • Comfort with change and flexibility as the organization grows

  • A diploma or degree in administration, business, communications, project management, community development, or a related field is an asset. Backgrounds in social sciences (e.g., social work, psychology, sociology) are also valued. Equivalent experience and lived expertise are equally recognized.



Preferred (Nice to Have, Not Required)



  • Background in nonprofit fundraising, partnership development, or donor engagement

  • Communications, social media, or content development experience

  • Experience working with Indigenous communities and 2SLGBTQIA+ communities or organizations; experience across both is strongly preferred

  • Experience supporting evaluation, reporting, or data collection processes

  • Familiarity with organizational capacity strengthening or systems development

  • Comfort working in evolving environments where systems and processes are still being built

  • Knowledge of gender-based violence, housing, and harm reduction sectors



Working Conditions



  • Full-time (35 hours/week, generally 8am-4pm, Monday through Friday)

  • Primarily on-site in Happy Valley–Goose Bay

  • Occasional evening or weekend work for events or gatherings

  • Some local travel required (mileage reimbursed)
