Job Description

The Systems & Program Administrator provides technical and administrative support to the Organizational Development (OD) team by serving as the primary administrator for the systems, platforms, and tools that enable OD programming and services. This role supports the smooth and efficient operations of all OD programs, events, and services by ensuring accurate system configuration, data management, and general administrative support.

This position works closely with the OD team, including the Program Coordinator, Learning and Development Specialists, Organizational Development Consultants, Educational Developers, and the OD Director. The role requires a high degree of technical aptitude and precision, as well as the ability to plan and prioritize competing tasks, take initiative on new challenges with energy and urgency, and continuously seek more effective and efficient ways to get work done.

Key Responsibilities

  • Systems & Platform Administration - Serves as primary administrator for all OD platforms and tools (Workday Learning and Talent, Brightspace, Humantelligence, Headversity, Dynacor, Viva Amplify, Viva Glint, MS Office, Canva) by performing configuration, data entry, maintenance, and troubleshooting, and acting as primary contact with vendor support teams, to ensure platforms are functioning accurately in support of OD programming. This role, when required, will act as a point of contact for the broader NAIT community through case management, issue triage, and troubleshooting.

  • OD Program Administration - Provides hands-on administrative support across all OD programs (Mentorship, 360 Leadership Feedback, Pulse Check, Training & Development) by managing system setup, collecting and cleaning data, coordinating logistics, scheduling sessions, booking rooms, and maintaining accurate records, so OD consultants can focus on program design and delivery. This position also collaborates with the Program Coordinator to manage the inbox, calendar, and logistical coordination for all OD events and services.

  • Systems Knowledge Management & Training - Acts as the OD team's internal resource for all systems and tools by developing and maintaining user guides and process documentation, training staff on platform use, and tracking license and subscription renewals to support the OD Director in planning decisions. This role is responsible for the ongoing maintenance and quality of system's knowledge base, applying a user-centered approach to system configuration, updates and content design.

  • Adaptability and flexibility are essential for navigating changing priorities and unforeseen circumstances

  • Strong team player and collaborator

  • Proficient knowledge with the Protection of Privacy Act (POPA) and Access to Information Act (ATIA) to understand how it applies to the information we collect, store, and use for our programs and services

Qualifications

  • Diploma in Business Administration, Human Resources, Information Technology or a related field

  • 2-5 years of related experience

  • Experience working in an educational setting or with an academic institution is an asset

  • Equivalent combination of education and experience will be considered.
