Job Description - Team Administrator

Position Summary:


Wasauksing First Nation is accepting applications for a Team Administrator. Under the Supervision of the Director of Social Services, the Team Administrator Worker helps with administrative duties that require a high degree of self-motivation and independent work skills. They work as part of a multi-functional team where members are expected to possess knowledge, respect, and sensitivity to the Anishinaabe culture. The candidate would be a part of a team expected to be committed to helping First Nation families strengthen and achieve a healthy level of well-being.


 


Job Duties & Responsibilities:



  • Coordinate daily office operations to ensure efficiency and productivity.

  • Managing complex team calendars, scheduling recurring meetings, and booking conference rooms or virtual meeting links

  • Respond to general inquiries, receive, forward and distribute telephone, email, and messages appropriately.

  • Coordinate office maintenance and liaise with building maintenance.

  • Liaise with the kitchen coordinator to organize bookings and logistics to support meetings and events.

  • Organize internal meetings, team events, and training sessions.

  • Identify opportunities to improve office processes and efficiency.

  • Maintaining staff inventory and supplies, follow up with

  • maintenance work orders and assist with all aspects of program operation.

  • Prepare for staff meetings and gather documents as requested.

  • Perform timely service team filing and updating.

  • Assist in opening and closing the facility at the beginning and end of the day as required.

  • Participate in and organize staff meetings and seminars, and provide accurate, detailed notes as required.

  • Maintain accurate tracking and reporting of departmental data.

  • Complete administrative requirements for new or closing files.

  • Work effectively with co-workers, balance and prioritize multiple requests.

  • Participate constructively as a team member in staff meetings, seminars, and training sessions as required.

  • Create and keep an organized work environment/workstation.

  • All other duties as assigned by the Manager or Direct Supervisor.

  • Adhere to all policies and procedures of Wasauksing First Nation and any other relevant policies and procedures from external agencies and partners



Education & Experience:



  • Grade 12 graduate with a degree or diploma in a related field.

  • 2 to 3 years of relevant experience in both administrative roles and or social positions.

  • Experience in social services is an asset.



Other Requirements: 



  • Strong organizational and time-management skills; ability to prioritize tasks and meet deadlines.

  • Proficiency in the use of word processing, spreadsheets, databases and other computer software and applications an asset.

  • Must have proven ability to work independently as well as in a team setting.

  • This position requires the individual to work with various families, youth and children. To protect children, youth and vulnerable persons, Wasauksing First Nation requires the individual to provide a vulnerable sector check.
