Position Details:
Position Title: Unit Clerk
Position Type:Multiple Positions Available – Casual
Location: Opportunities available at Southwood Care Centre.
Hours of Work: Shifts include days, evenings, and weekends.
Union Status: Unionized
Key Responsibilities:
Reception & Customer Service:
Greet and direct visitors, residents, families, and staff in a courteous and professional manner
Respond to inquiries by connecting individuals to appropriate facility resources
Answer and direct telephone calls promptly and accurately
Distribute resident mail, flowers, and newspapers as required.
Clerical & Record Management:
Prepare and maintain resident health care records in line with corporate policies
Initiate admission records, file reports, and manage discharged resident files
Maintain updated addressograph cards and ensure charts are clean and in proper order
Stock unit filing cabinets and maintain current forms in admission charts
Prepare correspondence such as letters, memos, and meeting minutes as requested
Update manuals and policy books on the unit
Scheduling & Staffing Support:
Under the direction of the Case Manager, prepare and post schedules for Clinical and Residential Service staff
Call in replacement staff to fill scheduling gaps as directed
Resident Support Coordination/Inventory Supplies:
Organize resident appointments and transportation based on nursing staff requests
Complete requisitions and process physician orders in accordance with policy.
Monitor nursing supplies and coordinate reordering in consultation with Site Administrators.
Teamwork & Continuous Improvement:
Contribute to a positive team environment through respectful, open communication
Participate in the orientation of new staff and share knowledge of clerical processes
Collaborate with teams to identify, suggest, and support improvements in service delivery
Demonstrate flexibility, patience, and a readiness to support others.
Attend meetings, read minutes, and stay informed on updates relevant to the role.
Health & Safety Compliance:
Operate equipment and use chemicals according to manufacturers’ instructions
Wear and maintain appropriate personal protective equipment (PPE)
Maintain a clean, safe, and organized work area
Report hazards, unsafe working conditions, or equipment malfunctions to a supervisor
Understand and adhere to corporate Health and Safety policies, WHMIS, fire, and environmental safety procedures
Professional Development & Engagement:
Take responsibility for personal performance and actively seek learning opportunities
Participate in meetings, training sessions, and project or committee work as required
Demonstrate openness, flexibility, and a commitment to quality service
Perform all duties in alignment with corporate, facility, and departmental policies and procedures.
Qualifications:
Graduate of a recognized Unit Clerk course. Previous experience is desirable.
Computer training or typing skills an asset.
Ability to read, write, speak and comprehend the English Language
Mentally and physically able to perform duties as outlined
Ability to work independently with minimal supervision and to complete assignments in a safe and timely manner.
Demonstrates concern and interest in providing a safe and attractive environment for residents, families, guests/visitors and staff.
Demonstrates effective communication, problem-solving and organizational skills
Ability to function as an effective team member with other staff, residents, families and the public.
