Job Description - Virtual Assistant

Tasks

We are currently seeking organized, proactive, and detail-oriented Virtual Assistants based in Canada to support our growing network of international corporate clients. If you are a multitasking wizard who thrives in a fast-paced environment, this role is for you!

Job Summary

As a Virtual Assistant, you will provide high-level administrative, technical, and creative support to our clients. You will manage daily operations, streamline communication, and ensure business workflows run smoothly. This role requires strong communication skills, excellent time management, and the ability to work independently from home.

Key Responsibilities

  • Administrative Support: Manage and organize calendars, schedule meetings, book appointments, and handle email correspondence professionally.
  • Data Management: Input, update, and maintain accurate records in CRM systems and spreadsheet databases.
  • Customer & Client Relations: Act as a first point of contact for client inquiries via email, chat, or phone; provide excellent customer service.
  • Document Preparation: Create, format, and edit business documents, presentations, reports, and meeting minutes.
  • Task Coordination: Follow up on project deadlines, coordinate with internal teams, and ensure tasks are completed on time.
  • Research: Conduct market research, internet research, or data gathering as requested by clients.

Requirements

Requirements & Qualifications

  • Location: Must be legally authorized to work in Canada and currently residing there.
  • Education/Experience: High school diploma required (Bachelor’s degree or diploma in Business Administration or a related field is an asset). Prior experience as a VA or in an administrative role is highly preferred.
  • Communication Skills: Exceptional written and verbal communication skills in English (French language skills are a strong plus in the Canadian market).
  • Tech-Savvy: Proficient in MS Office (Word, Excel, PowerPoint) and Google Workspace. Familiarity with project management tools (Trello, Asana) and communication platforms (Slack, Zoom) is a major advantage.
  • Home Office Setup: Reliable high-speed internet connection, a quiet workspace, and a functioning laptop/computer with a webcam and headset.
  • Soft Skills: Outstanding organizational skills, strong attention to detail, and a self-motivated attitude.
