Job Description



GENERAL FUNCTION

This position manages the payroll and compensation department and helps with processing payroll for US & Canada. Position requires intense concentration and attention to detail to sustain and model the highest level of accuracy. The Payroll Manager manages two (1) Payroll Administrator and contributes to team effort by accomplishing related results as needed. Completes operational requirements by working with the Payroll Administrator to ensure they understand their goals and objectives, providing regular feedback, and following up to ensure the work is done accurately and effectively. Maintains payroll guidelines by writing and updating policies and procedures. Balances the payroll accounts by auditing and resolving payroll discrepancies.

DUTIES/RESPONSIBILITIES

  • Assist in the administration of global compensation plans including base and variable pay.
  • Interface with business partners regarding compensation policies, practices, and communications.
  • Complete and submit salary surveys and utilize the results to develop and update external salary offers, salary structures, equity studies, etc.
  • Assist in determining FLSA classification status to ensure compliance with federal regulations.
  • Prepare reports, presentations, communications, and documentation as required.
  • Assist in the administration of the annual compensation review process (Point in Time Review Cycle).
  • Provide recommendations to resolve compensation related issues.
  • Provide compensation analysis and data management support.
  • Reconcile general ledger, balance sheet account and journals.
  • Partner with Payroll Vendor, HRIS (Workday), and Benefits Manager to ensure that Payroll runs smoothly.
  • Oversee distribution of paychecks and balance payroll runs.
  • Oversee payroll and direct deposit distribution.
  • Develop summary reports for payroll and deduction.
  • Oversee W-2 process for all employees.
  • Direct the audits of bank balances and payroll summaries.
  • Manage payroll reconciliation of 401(k), deferred compensation and other compensation related programs
  • Manage the coordination of payroll functions.
  • Liaise with other departments and upper management.
  • Audit Payroll Reporting on a bi-weekly basis for US and Canada ensuring all Business Partners entries are completed and reflects on employees payroll correctly.
  • Recommend changes in Payroll policies and procedures to continue to improve inefficiencies with the department.
  • File Online Monthly, Quarterly and Yearly Provincial EHT and Worksafe online. Working closely with Accounting Department to ensure payments are processed.
  • Ensure accurate/complete employee labor and payroll records/reports in accordance w/ company policy and labor regulations.
  • Ensure federal, state and local income and unemployment tax compliance with Workday and all authoritative bodies. 
  • Ensure year-end process is completed and employee tax documents are issued on-time and accurately. This includes reviewing quarterly/annual wage and tax reports for accuracy, correcting employee wages and/or taxes using OOS or adjustment payrolls and previewing tax documents to ensure they are correct.
  • Various projects and tasks related to compensation and benefits administration and reconciliations
  • Other duties as requested. 

Qualifications



EDUCATION

  • BS/BA in Finance, Accounting or related field required
  • MBA, CPA, CPP or CMA, plus payroll related certifications

EXPERIENCE

  • Minimum 5-7 years of payroll experience
  • Exceptional technical knowledge of US and Canadian Payroll
  • 5+ yrs. management experience
  • Experience in Employee Benefits a plus
  • Experience with a variety of payroll systems
  • Experience with Workday as an HRIS system
  • Experience with a multi-site, multi-state employer required

  • Solid understanding of financial controls and payroll processes
  • Skilled in facilitation, problem solving and conflict resolution

  • Strong customer focus with ability to build effective relationships and establish trust, respect, and confidence
  • Above average computer skills using Microsoft suite of products, especially Excel
  • Experience using Workday
  • Ability to quickly and creatively analyze and provide solutions to complex challenges
  • Unquestionable ethics and integrity with assertiveness, presence, and self-confidence
  • Above average project and time management skills. Able to balance multiple projects and pressures while meeting the fixed deadlines associated with running both US and Canadian payrolls
  • Must be extremely detail oriented
