Job Description - Admin and Sales Support

Position: Admin and Sales Support (Maternity Leave*)

Time: Monday – Friday: 8:00 am – 4:30 pm

Start Date: July 2024

Wage: $20/hr - $24.00/hr depending on prior experience. Benefits after 6 months. 

 

*This is a contract position to cover a maternity leave – the term will be for two years. There will be ongoing opportunities to grow into a new position within the company as well – so candidates should consider this as a potential long term opportunity. 

 

Role and Responsibilities. 

This role is designed to serve our customers through comprehensive administrative support to the operations and sales team. Service and peace of mind to the customer is what drives this, whether supporting sales by prompt communication that we have received their quote request or assisting operations by purchasing supplies as directed. The successful candidate will not only be capable of using the Office 365 suite of applications, but also must be familiar with ERP’s in general, and willing to learn our ERP (Job Boss). 

 

Understanding and adherence to the company core values is a key aspect of this position. 

 

Following are the general tasks that make up the core function of this role.

 

General Admin

· Handle all incoming calls promptly and direct people to the appropriate contact. 

· Assist in data entry as needed. (Purchase Orders, Work Orders, etc)

· Maintain sample chip board; order new chips from production floor when required. 

· General admin support to President, Production Manager, Sales Operations Manager as needed.

Inside Sales Support

· Monitor Sales inbox and add all RFQ’s to CRM.

· Assist with preparing estimates for customers (pull necessary data from drawings). 

· Support with building out spreadsheets for basic estimating (based on provided price list).

· Perform color matching as needed. 

· Quote follow up support as needed.

· Directing sales inquiries to sales team for further conversation. 

· Learn and support in sales process. 

Purchasing 

· Maintain office supplies and reorder as necessary.

· Issue purchase orders as directed and maintain open PO’s. 

· Purchase Customer owned powder (includes getting pre-payment).

· Assist with supplier and part research and price comparison. 

Special Projects as directed

· Support in development of estimating / pricing catalogue.

· Event planning (Christmas, Zoo Day, Etc).

· Christmas Gifts.

· As directed by President, Sales Operations Manager, and Production Manager. 

Candidates who have prior experience in customer service, estimating, sales, and/or marketing may have an opportunity to grow within the company.
