The Court and Justice Services (CJS) Division provides a wide range of resolution and court services for people involved in legal disputes. Role Responsibilities

As Accounting Supervisor of the Financial/File Control Unit, you will oversee the accurate processing and disbursement of all monies received in payment of fines, bail, restitution, search fees, in accordance with established procedures and policies for the Provincial Court Criminal Division.

You are responsible for daily reconciliation of monies processed through the cashier areas for the Criminal Registry Office, Calgary Hearing Office, and Calgary Regional Court operations; review of financial reports for accuracy; and disbursement of monies for restitution, bail refunds and overpayment of fines. In this position, you will ensure all financial activities are adhered to in relation to overpayment of funds and cheque production.

Your duties and responsibilities include but not limited to are:

  • Provides training, guidance and coaching to ensure all administrative functions are understood and properly completed, this would include producing refund cheques, data entry functions, filing documents and typing of refund cheques. Ensuring a high level of accuracy is met in processing all payments received, filing of future files and waiver of files in and out of province.
  • Position provides ongoing training and is the resource person to this Unit and all other sections with respect to accounting.
  • Participates in recruitment and selection of new staff, course planning, performance planning/setting of goals and preparing progress reviews. Address and resolves employee relations and performance issues as they relate to staff.
  • As the Expenditure Officer, ensures overpayments are checked, letters and cheques are produced and reviewed for accuracy and endorse.
  • Ensure all financial reports are audited on a daily, weekly or monthly basis as per the policy manuals.
  • Reviews and signs all cheques that relate to Restitution, Bail and Overpayment of Fines.
  • Prepares daily cash report and reconciliation roll up report, ensures the cash transactions received for the day are balanced.
  • Accurately enters endorsement information into the JOIN computer system in order to produce court ordered documentation and performs data entry functions in the absence of staff.
  • Updating the computer management system by inputting all financial transactions, recording and reconciliation of all financial transactions as it pertains to fines and bails.
  • Assists in the preparation of refunds for restitution, bail, fine overpayment, and unidentified payments.

Qualifications

Required:

  • High School and three years of related experience in accounting.


Preference and Assets:

  • Related education and/or experience in accounting would be considered an asset.
  • working knowledge of the Microsoft Office Suite (Word, Excel, and Outlook) as well as strong data entry skills (accuracy and speed).
  • Experience in relation to JOIN /1GX computer systems including all data entry functions, data update, retrieval, inquiry functions and complex problem solving in relation to interface complexities.
  • on-the-job experience in application of specialized skills as they relate to the financial aspect of this position.


Equivalency: - Directly related education or experience considered on the basis of:

  • 1 years of education for 1 year of experience; or
  • 1 year of experience for 1 year education
