Job Description - Agency Assistant - Canada Summer Jobs

AGENCY ASSISTANT


Summer Contract: April - August 2026


**This summer employment opportunity is dependent on Canada Summer Jobs funding approval**


 


Family Transition Place (FTP) operates an emergency shelter, counselling and outreach programs for women and their children. Working in a team environment, reporting to the Manager of People, Equity and Culture, the Agency Assistant position will require flexibility and skills to support many of FTP’s departments including administration, facilities maintenance, marketing and communications and emergency shelter.


 


Responsibilities will include:


 



  • Assist with general reception duties for the Agency including ensuring the security of the front entrance of the facility during office hours

  • Follow Agency procedures to sign Clients and Visitors in and out, always ensuring safety and privacy; utilize scheduling software to book/update/cancel appointments and meetings, answering and triaging incoming calls

  • Interact with all agency staff sharing information regarding staffing, scheduling and client-related matters

  • As needed, participate in both weekly Shelter Staff team meetings and monthly Support Services meetings

  • Support the Youth Education and Marketing and Communications departments in updating and creating materials, included but not limited to PowerPoint and Canva presentations, ads and social posts, including sourcing imagery and multimedia

  • General facility and grounds maintenance for the Bredin Parkway location

  • Facility maintenance includes general cleaning and maintenance of common areas in shelter, cleaning and preparing individual living units in shelter or SSH for occupancy, completing minor repairs including painting, waste management i.e., recycling, removal and disposal.

  • As needed, support Shelter Counsellors with client intake and discharge procedures

  • Participating in First Aid, AED, CPR training if applicable

  • Adhere to Agency policies and procedures and comply with required legislative and regulatory requirements such as Occupational Health and Safety Act, Accessibility for Ontarians with Disability Act, Workplace Hazardous Materials Information System (WHMIS), Safe Food Handling, fire safety equipment, etc.


 


Qualifications:



  • Youth (18 – 30 years of age)



  • Ability to concurrently manage and complete multiple duties, prioritizing as required

  • Reliable transportation (own vehicle and driver’s license not required, but considered an asset)

  • Adaptability, communication, problem solving and digital skills

  • Ability to manage time effectively, multitask in a fast-paced environment and work cooperatively as a team member and independently, when required



 Marketing and Communications



  • Proficient in using MS Word, Excel and PowerPoint, as well as Canva

  • Knowledge of process to source and reference images and multimedia

  • Experience using Photoshop, InDesign and Adobe considered a strong asset


 


Reception



  • Experience in operating a multi-line telephone system

  • Effective oral, written, listening and telephone communication skills

  • Customer service experience

  • Computer literacy in word processing using Windows applications and databases


 


Facilities



  • Knowledge and skills in the use of lawn and garden equipment, small power tools, cleaning supplies, kitchen equipment

  • Experience with safe food handling practices



Hours of Work:



  • Onsite position, 35 hours per week, Monday - Friday 8:30 a.m. – 4:30 p.m.


 


Wages:           $18.00 per hour
