Job Description - Intern: Common Collection System | Ontario, Canada

OVERVIEW


Reporting to the Senior Manager, Common Collection System (CCS)- ON, the Operations Intern - ON is responsible for supporting the daily activities within the Ontario CCS operations team. This includes but is not limited to managing operational email boxes and administrative functions including scheduling, database management, and meeting support as well as assisting with project data collection, consolidation and analysis.


 


This position requires residency in, and ability for occasional travel within Ontario.



RESPONSIBILITIES



  • Provides back-up assistance in managing the operations mailbox including email management. Ensures timely responses to inquiries through the preparation of draft responses for staff review and approval. Assists with the consolidation of questions and answers into an FAQ archive.

  • Works with staff to support their engagement with key stakeholders through the completion of important administrative tasks that drive day-to- day operations such as organizing and scheduling calls.

  • Attends meetings to take minutes and later input action items into tracking system to allow for centralized monitoring of tasks assigned to team members.

  • Carries out internet and telephone data collection exercises to capture critical municipal and First Nation waste program delivery details as applicable

  • Ensures all relevant CCS details are captured accurately in the appropriate data collection platform.

  • Consolidates data collection for analysis.

  • Manage data changes ensuring key contract details are updated and community engagement logs are kept current in the various tracking sheets and databases.

  • Manage files, informational resources, and databases on SharePoint for various CCS team activities and projects.

  • Identify best practices across operations to gain a more streamlined approach to the completion of day-to-day activities that drive operations.

  • Performs miscellaneous job-related duties as assigned.



QUALIFICATIONS


Education



  • College and/or University studies in business, project management and/or waste management are an asset.

  • An equivalent combination of education, and experiences may be considered.


 


Experience



  • Experience in effectively resolving issues and fostering strong relationships with diverse stakeholder groups.

  • Experience in an administrative and/or operational role is an asset.



Knowledge/Competencies/Skills




    • Experience with proficient in Microsoft Office, particularly with Outlook, Excel, SharePoint, Teams and Jira or other project management software would be an asset.

    • Strong written and verbal communication skills required to maintain professional communication with both internal and external stakeholders.

    • Excellent organizational skills and time management.

    • Detail-oriented with the ability to work under pressure with minimal supervision.


     


    WORKING CONDITIONS



    • All CM employees work 40 hours per week, remotely from a home office environment, and must be willing to attend in-person meetings when needed and ability to travel (at times) throughout the province.

    • Valid driver’s license is required.

    • Extra or flexible hours may be required on occasion.



    PAY TRANSPARENCY 


    Expected Compensation: 



    • A salary of $14,700 for the 4-month term.

    • The salary listed complies with the Ontario Employment Standards Act and reflects working full-time hours.
