Hiring Unit:
Science Office for Undergraduate Student Advising (SOUSA)


Position Summary:

  • Maintain a cheerful outlook when greeting and assisting with general inquiries, including responding to emails from prospective/new students and providing information on policies and procedures.
  • Represent McGill by answering questions about campus life, extracurricular opportunities, and other student-related topics.
  • Meet with prospective students and their families in person to address questions and provide guidance.
  • In exceptional circumstances, provide ad-hoc campus or Science facility tours for visiting families as required.
  • Collect and enter data into established databases.
  • Perform basic word processing tasks such as document formatting, labeling, spellchecking, mail merge, and drafting letters from templates.
  • Review submitted forms for accuracy and completeness.
  • Provide general support for events such as yield events in April, pre-registration events in June, and in-person orientation activities in late August.
  • Assist with event set-up, including signage placement, and ensure smooth on-site operations.
  • Provide wayfinding support to event participants.
  • Assist with event clean-up, including the removal of signage, tables, and chairs.
  • Participate as a panelist or host for virtual panels, such as the Science Student Experience Panel.


Other Qualifying Skills and/or Abilities

  • Detail oriented, excellent communication skills, punctual.
  • Demonstrated knowledge of MS Office (Word, Excel and PowerPoint, Teams) and knowledge of Zoom.
  • Be currently enrolled in the B.Sc. or B.A. & Sc.
  • Bilingual English/French, written and oral, an asset.
  • Understand and support the goals and philosophies of McGill University.
  • Ability to navigate McGill University website. Knowledge of McGill University campus resources.
  • Knowledge of McGill University academic policies and standards and be able to communicate effectively to new students.

*Hours will vary between 2 - 4 hours per week

Knowledge of English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level # 4 (qualifier) on a scale of 0-4.
