Job Description - Special Events Planner: Summer Student


Number of Positions: 1
Location: Fort St. John, BC
Term: Temporary (Canada Summer Jobs 2026)

Start Date: June 1, 2026
Duration: 8 weeks
Hours: 35 hours per week
Wage: $22.00/hour

Position Overview

We are seeking a Summer Student Special Events Planner to support the planning and execution of fundraising events, donor stewardship initiatives, and community engagement activities. This role offers hands-on experience in event coordination, administration, and nonprofit operations within a collaborative team environment.

The successful candidate will contribute to meaningful projects that strengthen donor relationships and community connections while developing valuable professional skills.

Key Responsibilities

  • Assist in planning and executing fundraising events, donor appreciation events, and community engagement activities
  • Provide logistical support, including scheduling, preparing materials, coordinating vendors (as directed), and managing event supplies
  • Support volunteer coordination tasks such as communication and sign-up tracking (no direct supervision required)
  • Assist with event registration, attendance tracking, name tag preparation, seating arrangements, and event materials
  • Support post-event activities, including thank-you communications, data entry, feedback collection, and inventory organization
  • Prepare donor stewardship materials such as acknowledgment letters, thank-you notes, and recognition projects
  • Maintain and update donor records, including data entry and tracking engagement activities
  • Assist with donor communications, including invitations, newsletters, mail-outs, and campaign updates
  • Support the creation and distribution of donor recognition materials and event signage
  • Provide general administrative support, including scheduling, document organization, and marketing material preparation
  • Maintain organized digital and physical filing systems related to events, donors, and volunteers
  • Assist with meeting preparation and follow-up tasks for the Stewardship and Operations teams
  • Track event expenses, collect receipts and invoices, and support basic budgeting processes
  • Assist in reconciling event revenue, including ticket sales, donations, sponsorships, and auction proceeds
  • Work with the Finance Team to ensure accurate documentation and coding of financial transactions
  • Help prepare basic financial summaries and reports as directed
  • Support community outreach initiatives, organizational projects, and program activities as assigned
  • Assist with grant-related tasks such as data collection, documentation, and report preparation

Qualifications (CSJ Eligibility Requirements)

To be eligible under the Canada Summer Jobs program, applicants must:

  • Be between 15 and 30 years of age at the start of employment
  • Be a Canadian citizen, permanent resident, or person with refugee protection status
  • Be legally entitled to work in Canada

Preferred qualifications:

  • Interest in event planning, communications, nonprofit work, or administration
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Attention to detail and ability to manage multiple tasks
  • Ability to work both independently and collaboratively
  • Basic computer and digital skills (e.g., Microsoft Office, email, data entry)

Working Conditions

  • Office-based event-based work
  • Require flexibility in hours during event days and may need to be available weekends and holidays
