Under the direct supervision of the Finance & Administration Manager, the Summer Student Administrative Assistant will support the Administration Team at the Canadian Mental Health Association, Kenora Branch by providing a wide range of administrative and clerical services.
Qualifications:
Experience in the field of administrative, human services and office management
Excellent time management skills
Strong communication and organizational skills, able to manage competing priorities and deadlines in a fast-paced environment
Strong computer skills – Microsoft Office, Outlook calendar
Demonstrated discretion and trustworthiness due to frequent contact with confidential material
Demonstrated interpersonal skills, human relations and ethics
Demonstrated professionalism in the performance of duties
Knowledge of mental health/illness and mental health difficulties
Working knowledge of community resources and agencies
Cultural Competence for diverse populations
Valid Driver’s License
Criminal Records Check for vulnerable populations
Certification in CPR and First Aid or willingness to obtain same
Duties:
Adherence to all policies of the CMHA Kenora Branch including assurance of confidentiality of all clients, personnel and organizational records and information
Provide a wide range of administrative and clerical functions and services for staff
Provide administrative coverage during staff absences as required.
Participate on specific Committees or task or work groups as assigned by the Supervisor
Maintains an organized filing system, corporation documents, creating and deleting files as required, and retrieving information when requested
Act as a liaison between the Senior Management Team and other staff to ensure appropriate coordination and follow-up on day-to-day issues
Monitor and maintain appearance of common areas
Assist with preparation for meetings, catering, and special events
Scheduling of meetings upon request
Participation in ongoing training and education and application of new skills to practice
Provide a safe environment by ensuring adherences to Workplace Health and Safety Regulations and Policies, Infection Control Guidelines, WHIMIS and Safe Work Procedures; including but not limited to Fire, Disaster and Evacuation Plans
Ensure client safety and client safety activities are emphasized throughout orientation of new staff members
Support an environment which avoids, prevents, and corrects all activities or actions which may result in an adverse outcome in the delivery of mental health services
Complete project assignments as directed by supervisor
