This position is eligible for a hybrid work model. When attending an event or meeting in person, your primary office location will be based out of Sims Square – 390 Brant Street. Work location is subject to change at the discretion of the City due to operational demands. Effective 2026 this role will be required to be on site 50% of the time each month.
Position Overview
Reporting to the Manager, Festivals and Events, this position plans, organizes and delivers City-lead community events. The role provides advice and guidance in event planning and liaises with City departments, Regional and Provincial agencies, and stakeholders to secure required permits and approvals, ensuring compliance with applicable municipal regulations and standards.
Responsibilities
This position is responsible to:
Plan, organize and execute municipal events by developing timelines, work plans and operational schedules to ensure efficient delivery from concept through post-event closeout. Coordinate logistics including site layouts, equipment, security, accessibility and emergency planning.
Manage multiple events concurrently while prioritizing workloads, meeting legislated deadlines, and adapting to changing operational needs.
Liaise with City, Regional and Provincial departments and agencies to obtain required approvals, permits, and clearances, ensuring all events comply with applicable municipal bylaws, provincial legislation, and organizational policies.
Review contracts and agreements in consultation with Legal Services & Risk Management, and assist in resolving contractual, operational, or compliance-related issues as they arise for requirements and approvals and ensure all events comply with regulations.
Analyze post-event feedback to identify areas for improvement and incorporate solutions for future events. Contribute to Council reports.
Monitor and maintain budget, in Workday, and complete invoicing and payment requests.
Assist third party vendor with sponsorship package recommendations & vendor placement coordination.
Support marketing and communication efforts by coordinating content needs and webpage updates with the Marketing team to ensure timely and accurate promotion of City-lead events.
Duties and responsibilities are inclusive but not limited to the above.
Requirements
The Advisor, Festival and Events requires completion of a College Diploma in Event Management, Tourism Management, Communications or Marketing, Cultural Planning or a related field and at least two (2) years of experience in planning and delivering community-based festivals and events. Experience in a municipal setting is preferred. Applicants require strong interpersonal, communication, organization, administrative and event planning skills.
A valid G Class driver’s license is required with an acceptable driver’s abstract (no more than three (3) driving related convictions or an accumulation of no more than three (3) demerit points in the previous three (3) years prior to the date of hire).
