POSITION SUMMARY

At CHEO, we are committed to making a difference in the lives of children, youth and families by providing exceptional care and services.  We are seeking a dynamic individual who is a strong coordinator of creative production that supports CHEO's commitment.
 

Reporting to the Manager, Creative Services, the Creative Services Coordinator acts as a central point of contact between requestors and the creative team, coordinating requests, timelines, resources, and administrative processes. The Coordinator aides the translation of project requirements into clear briefs, tracks deliverables, manages logistics, and supports day-to-day operations to ensure creative projects are delivered on time, on brand, and within approved scope.
 

MAIN RESPONSIBILITIES

  • Act as a central point of contact for Creative Services requests, liaising with internal requestors to clarify scope, objectives, timelines, and required information.

  • Coordinate intake, scheduling, prioritization, and tracking of Creative Services projects to support workflow and delivery of projects in a timely and consistent fashion.

  • Ensure required information is collected upon intake and that expectations with requestors are clearly communicated and managed, including timelines, dependencies, reviews and required approvals, coordinating revisions as required.

  • Assess each request to support compliance with brand, copyright requirements and CHEO policies, and support discussions regarding timelines, cost considerations, and available alternatives.

  • Develop and maintain project schedules and tracking tools, monitor progress and follow up on outstanding actions with Creative Services team members.

  • Support identification of project risks, issues, and dependencies, and escalate concerns to the Manager of Creative Services as appropriate.

  • Coordinate project archiving and product delivery to requestors.

  • Use project coordination tools and administrative systems to support planning, tracking, reporting, and workload visibility across Creative Services.

  • Provide administrative, coordination, and reporting support to the Manager of Creative Services.

  • Support logistics and administrative functions for Creative Services, including coordination of supplies, scheduling of project work, expense tracking, and other financial administrative duties.

  • Ensure sensitive information related to Creative Services requests is handled appropriately, coordinating documentation and access requirements as needed.

  • Perform other duties as required.

QUALIFICATIONS

  • Minimum of a three (3)-year diploma in the field of multimedia, creative production, communications, design, or a related field (Essential) 

  • Minimum of one (1) year of experience in a multimedia creative services environment, supporting project delivery, coordination, scheduling, or administrative workflows, rather than hands‑on production. (Essential) 

  • Minimum of three (3) years of experience in multimedia teams, with demonstrated understanding of creative production lifecycles, workflows, and requirements (Essential) 

  • Self-directed with the advanced ability to plan, organize and prioritize projects according to priority, and ability to ask questions and to identify difficulties in meeting deadlines (Essential) 

  • Proven customer service experience (Preferred) 

  • Experience working within a large organization (Preferred) 

  • Familiar with Asana (Preferred) 

  • Computer literacy with Microsoft 365 (Essential) 

  • Knowledge of the Adobe Creative Suite (Preferred)

  • Project Management Certification (Preferred) 

  • Lean Yellow Belt certification (Preferred)  

  • Criminal Record Check (Level 1)  (Essential) 

  • Bilingualism (French/English)  (Preferred) 


Experience and formal training combined with demonstrated performance and ability may substitute for stipulated academic/experience requirements
 

Timeline may be extended or shortened based on operational needs.
 

Effective March 29, 2021, CHEO will conduct a more comprehensive pre-screening and evaluation process.  This process may include more varied and multidimensional testing such as a written test, practical exam, or other assessment. All candidates who meet the essential and preferred qualifications may be tested.
 

Bilingualism (French/English) will be validated by a language proficiency assessment conducted by a third party provider. Candidates will be required to meet the minimum linguistic profile prior to the date of hire.
