WORK HOURS AND SCHEDULE: The regular working hours for this position are 21 hours per week or 3 days per week, consisting of 7 hours per day. Standard working hours are 8:30 a.m. to 4:30 p.m., with a one-hour unpaid lunch break.

PROGRAM SUMMARY:

The English Language and Multicultural Services (ELMS) Program empowers newcomers to Canada to live full lives in our community. The program offers free multi-level English classes, volunteer tutor matching, information and orientation, community connection services, employment services, and cultural learning activities. The service utilizes learner-centered approaches to teach and introduce newcomers to Canadian culture and resources, to connect them with the community and to strengthen English speaking, listening, reading, and writing skills. A welcoming and supportive community is built through shared intercultural experiences.

The Smithers Local Immigration Partnership (LIP) is funded by Immigration, Refugees and Citizenship Canada (IRCC) and brings together local government, community agencies, associations, and other partners to develop and implement initiatives that support immigrant and refugee settlement and integration in the community. The LIP serves as a collaborative planning table that may include representatives from settlement and community services, education, business, recreation and culture, policing, libraries, volunteer organizations, and other key stakeholders, and is supported by immigrant advisory input.

POSITION SUMMARY:

The Part-Time LIP Coordinator effectively manages and drives the implementation of the Smithers LIP initiatives within a focused three-day-a-week schedule. Operating within the ELMS framework, this role maximizes its weekly hours by acting as the key organizer and liaison between the LIP Council, internal settlement teams, and community partners to foster newcomer integration.

KEY RESPONSIBILITIES:

1.    Strategic Coordination & Council Support

• Coordinate and schedule Smithers LIP Council meetings and support implementation of the Local Immigration Partnership (LIP) work plan.


• Prepare meeting agendas, take meeting minutes, track action items, and follow up on assigned tasks.


• Coordinate communication with the LIP Advisory Board and Council members to ensure ongoing participation and diverse community input.


• Maintain project documentation, records, and reporting related to LIP activities.

2.    Partnership & Team Liaison

• Serve as the primary administrative contact for local service providers, government partners, and immigrant-serving organizations.


• Maintain regular communication with the ELMS Program Manager and Settlement Team to ensure activities are coordinated.


• Liaise with regional LIP representatives to share information, resources, and promising practices.

3.    Meeting & Working Group Coordination

• Organize, coordinate, and facilitate LIP Council meetings, working groups, and community engagement sessions.


• Record meeting discussions, distribute minutes, monitor action items, and support follow-up activities.


• Coordinate logistics for meetings, presentations, and community events, and provide administrative support as required.

4.    Reporting & Documentation

• Prepare progress reports, meeting summaries, and other documentation for funders and stakeholders.


• Collect and organize project information, community feedback, and participation data to support reporting and evaluation.


• Maintain accurate records and ensure reporting deadlines are met.

5.    Research & Funding Support

• Conduct basic research on community needs, integration initiatives, and funding opportunities to support the LIP project and community collaboration.


• Assist with gathering information and preparing grant applications and funding reports.


• Support data collection and documentation to measure project outcomes and community impact.

QUALIFICATIONS:

• Relevant post-secondary education in community development, social services, human services, communications, public relations, or a related discipline, combined with a minimum of one (1) year of experience in community outreach, stakeholder engagement, partnership development, or a closely related field, or an equivalent combination of education and experience.


• Must work well with people and demonstrate knowledge of the challenges that may be part of immigrant settlement in Canada.


• A demonstrated record of working with diverse populations and building collaborative relationships.


• Demonstrated administrative, leadership, and management abilities.

SKILLS AND ABILITIES:

• Highly motivated and detail-oriented with a strong aptitude for organizing and prioritizing tasks effectively, and a clear understanding of accountability and personal responsibility.


• Excellent written and verbal English language skills with the ability to type 30-35 WPM.


• Strong event planning skills and the capacity to manage multiple tasks and projects simultaneously, with a proactive approach to solving and avoiding problems.


• Proficiency in Microsoft Office, promotional material design and marketing tools, social media platforms, and the ability to deliver accurate reports and presentations.


• Cultural sensitivity and awareness to work with diverse people, including those from various linguistic, cultural, and socioeconomic backgrounds.


• Personable and professional attitude ensuring clients feel valued, respected and comfortable seeking support, while protecting client confidentiality.


• Self-directed and able to work well independently and as part of a team.


• Knowledge of local community organization and available services.

• Must be legally authorized to work in Canada.


• Be familiar with and adhere to the philosophy, policies, and procedures of the Association.


• Represent the Association positively and professionally at all times.


• Understand and be committed to terms of confidentiality and sign a pledge of confidentiality.


• Undergo a Criminal Record Search as and when required by the Association.


• Actively participate in regular performance evaluations.
