Job Description - Office Assistant C

Hiring Unit:
School of Continuing Studies / Admissions
Casual part-time position

Position Summary:

Under the direction of the immediate supervisor, the incumbent will support work related to communicating with students in connection with their admissions records. The person will also be assigned general administrative work related to the updating of information on databases. 

Typical Functions:  

Monitor daily the email resource accounts, including Outlook and Slate and responding to inquiries or directing them to the appropriate unit  Answer students calls and offer assistance as needed   Follow up with students whose applications are incomplete   Pickup, review and upload official documents received by mail  Receive add/drop forms from GPS students and update files and records accordingly.  Act as resource person between the Admissions unit and other units within SSEM, to provide solutions to student inquiries

Other Qualifying Skills and/or Abilities
Must be client-focused and service-oriented with a proven ability to deal with people at all levels and to effectively receive, retain and transmit information. Experience working in a PC environment using word processing, strong knowledge of Excel spreadsheets, databases, e-mail, and the Internet. Proven ability to prioritize and meet deadlines . Demonstrated discretion in dealing with confidential information. Fluent in both English and French (written and spoken).

Knowledge of English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level # 4 (qualifier) on a scale of 0-4.
