Job Description - Stockroom Coordinator

The Stockroom Coordinator reports to the store manager(s) and supports seamless store operations by managing merchandise, maintaining an organized stockroom, back of house procedures, and ensuring exceptional support to the sales team. This role upholds brand standards through efficient inventory handling, operational accuracy, organization, and clear communication. The Stockroom Coordinator supports overall store readiness to elevate client experience and store success.



Key Responsibilities


Merchandise Processing & Administration



  • Receive, organize, inspect, and process all incoming merchandise with 100% accuracy.

  • Verify shipments against transfer/purchase orders and packing lists; record and report discrepancies (shortages, overages, damages), issues to manager.

  • Complete stock pricing for incoming product, ensuring accuracy and timely floor execution.

  • Prepare and ship outgoing merchandise including transfers, returns to warehouse (“RTV’s”), and special orders.

  • Ensure inventory accuracy and prevent shrinkage by following proper processes for all stock movements and by communicating concerns to management.

  • Prepare, organize and execute all elements of inventory cycle counts. Provide stock report to manager and assist in resolving discrepancies.



Stockroom Organization & Operational Efficiency



  • Maintain a safe, clean, and organized stockroom with systematic placement for quick product access.

  • Implement best practices to maximize space, support smooth replenishment and efficient methods for receiving, storing, shipping.

  • Ensure all merchandise is properly prepared for the sales floor, including steaming, security tagging, ticketing, sizing, and presentation standards.

  • Maintain stock of all sales floor supplies; including hangers, shopping bags, tissue, wrapping materials, etc. replenish
    as needed.

  • Oversee and replenish all general store supplies, including packing materials, stationery, toiletries, garbage disposal items, cleaning supplies and other essentials.



  • Oversee general store maintenance needs and communicate issues to management for resolution.



  • Maintain safety and cleanliness standards in stockroom and all back of house areas.

  • Act as a point of accountability to ensure the store operates optimally, according to company expectations and reduces risks related to merchandise, shrinkage, and client experience.



Alterations, Repairs & Damages



  • Organize and track alterations; log and prepare outgoing and incoming alterations, coordinate with sales team and arrange items for customer pick-up.

  • Assist sales associates with customer-related damages and help coordinate appropriate solutions.

  • Report all stock damages to management and assist in executing appropriate next steps, such as dry cleaning, office repairs or tailoring needs.



Customer Experience & Sales Floor Support



  • Support client experience through efficient back-of-house operations, timely replenishment processing, and readiness of product.

  • Support the sales floor by pulling and restocking inventory during high-traffic periods.

  • Maintain awareness of all stock movement and whereabouts; assist with internal and external inquiries with accuracy and professionalism.



Who You Are



  • Minimum one year of hands-on experience in apparel retail operations, stockroom administration, or sales support.

  • Highly organized with strong attention to detail.

  • Computer-proficient with the ability to learn basic internal systems quickly.

  • Knowledge of Shopify, Excel, Netsuite, is a plus.

  • Able to work independently, prioritize tasks, and manage time effectively.

  • Strong communication and problem-solving skills.

  • Comfortable working in a fast-paced environment and meeting deadlines.

  • Able to lift up to 30 pounds (approx. 13 kg), bend, reach, walk stairs, and stand for extended periods.
