About the Role
In this part-time role (25 hours per week), the Triple P.L.A.Y. Coordinator leads the day-to-day coordination, administration, and sustainability of the Triple P.L.A.Y. program. This role is responsible for managing program applications, building community partnerships, coordinating volunteers and events, and leading fundraising and donor engagement activities that ensure the program can continue to support local children and youth.
This is a highly collaborative role that works closely with community partners, volunteers, donors, and program committees to expand access to recreation opportunities across the Kenora region.
Key Responsibilities
Program Coordination & Administration
- Coordinate the intake, assessment, tracking, and follow-up of program requests for support.
- Ensure funds and/or in-kind supports are distributed in accordance with program guidelines.
- Maintain accurate records, statistics, and documentation for reporting and accountability.
- Manage the storage, inventory, and distribution of new and gently used recreation equipment.
Fund Development & Financial Oversight
- Lead annual fundraising, sponsorship, and donor engagement activities that support program sustainability.
- Build and maintain relationships with donors, sponsors, and community funders.
- Coordinate grant and proposal writing in collaboration with partners and program committees.
- Track program revenues and expenses and prepare financial updates in collaboration with Finance.
- Monitor donations, sponsorships, and expenditures to support transparent program reporting.
Community Partnerships & Engagement
- Develop and maintain strong partnerships with recreation providers, schools, service agencies, and community organizations.
- Serve as the primary point of contact for partners involved in the Triple P.L.A.Y. program.
- Increase community awareness through outreach, presentations, and engagement activities.
Governance & Committee Support
- Provide coordination and administrative support to the Triple P.L.A.Y. Advisory and Executive Committees.
- Organize meetings, prepare agendas and minutes, and follow up on action items.
- Provide committees with program updates and data to support decision-making.
Volunteer & Event Coordination
- Recruit, orient, and support volunteers for events and program initiatives.
- Coordinate community fundraising events and awareness activities.
Communications & Reporting
- Prepare newsletters, updates, and promotional materials for donors, partners, and the community.
- Contribute to storytelling and impact reporting that highlights the difference the program makes for children and families.
What We’re Looking For
Education & Experience
- Diploma or degree in Human Services, Community Development, Recreation, Business, Marketing, or a related field, or an equivalent combination of education and experience.
- Experience in program coordination, community development, fundraising, or non-profit administration.
- Experience working with committees, volunteers, or Boards of Directors.
- Experience managing budgets, financial tracking, and reporting.
Skills & Competencies
- Strong organizational and project coordination skills, with the ability to manage multiple priorities.
- Proven ability to build and maintain community partnerships.
- Experience with fund development, donor stewardship, and grant writing.
- Strong financial tracking and data management skills, including Microsoft Office and electronic document systems.
- Excellent written and verbal communication and relationship-building skills.
- A high level of initiative, accountability, and ability to work independently.
