Job Description - Department Assistant

The position

As a Department Assistant, you will play a central role in ensuring the most simple and efficient administration setup across Sourcing Operation. You will ensure support to the department and be the go-to person for the management group, but you can also expect to be working on larger projects with the admin group.

 

Your main task will be:

  • Providing administrative support to the director, including calendar management, approval of accesses, and support in systems.
  • Assisting with recruitment and onboarding processes, including coordinating requisitions, assisting with onboarding new employees, and supporting with organizational changes.
  • Supporting procurement and purchasing activities, including providing guides and training for purchase in Coupa, assisting with purchase order and contract creation, and guiding on special purchases.
  • Assisting with planning, preparing, and executing events and offsites, including helping with event logistics, ensuring compliance with Environment, Health and Safety (EHS) risk guidelines, and coordinating yearly clean-up campaigns.
  • Supporting various ad hoc tasks, such as maintaining SharePoint sites, assisting with travel arrangements, and providing support in administrative systems.

 

Qualifications

We are seeking candidates who fulfil the following prerequisites:

  • Solid administrative background, preferably with +5 years of relevant experience.
  • Experience with project/event management.
  • Strong IT skills and understanding.
  • High level of English skills, both written and verbally, as well as the ability to communicate effectively at all organizational levels.

 

As a person, you are proactive, responsible, and structured. You are service minded with excellent communication and cooperation skills. You are able to prioritize tasks, and you have strong execution abilities as well as a quality mindset. You are flexible, adaptable, and you are able to spot possibilities for optimization and simplification.

The Inbound Supply Management team is a crucial part of the Sourcing Operation department at Novo Nordisk. We are responsible for ensuring the most simple and efficient administration setup, supporting the management group, and working on larger projects with the admin group. Our team is dynamic and fast-paced, and we value proactive individuals with strong administrative skills.
