Job Description - Community & Office Operations Manager

As our Community & Office Operations Manager, you will be the backbone of our physical footprint. You’ll work hand-in-hand with local Community & Office teams across Copenhagen, London, Edinburgh, New York, Denver, Hamburg, Amsterdam, Milan and Melbourne. Your mission is to ensure every Trustpilot office is safe, compliant, and operationally efficient, all while maintaining rigorous financial health.
Role responsibilities
Your role is a blend of strategic oversight and hands-on operational management, focusing on three core pillars:
Financial Stewardship
Global Budget Oversight: Support the Head of Community & Office in managing all office budgets. You will ensure 100% accuracy in financial tracking and spend throughout the year.
Forecasting & Mitigation: Actively predict potential overspends, advise on corrective actions, and contribute to long-term CAPEX/OPEX planning.
Real Estate & Procurement: Assist with global lease renewals and the monitoring of business rates. Act as the primary point person for vendor onboarding, procurement workflows, and PO lifecycle management.
Safety, Security & Compliance
Global H&S Framework: In partnership with external specialists, develop and maintain a robust Health & Safety schedule for every office, ensuring absolute alignment and compliance with varying local regulations.
Risk Mitigation: Coordinate with local managers and contractors to ensure essential safety works, security protocols, and employee training are executed seamlessly.
Operational Excellence & Sustainability
Standard Operating Procedures (SOPs): Create and implement global policies that standardize security, maintenance, and facility management across all hubs.
ESG & Sustainability Reporting: Take the lead on monitoring our physical footprint, specifically focusing on carbon emission reporting and sustainability initiatives to meet our global ESG goals.
Your profile
Experienced: You have a proven track record in Operations, Facility Management, or a Finance-heavy operational role.
Analytically Minded: You are comfortable with spreadsheets, budget forecasting, and data-driven reporting.
Project Driver: You possess strong organizational skills and the ability to manage multiple high-priority projects across different time zones.
Resilient & Adaptable: You enjoy the pace of a growing tech company and can pivot quickly when priorities change.
Communicator: You have excellent command of English and the ability to translate complex safety or financial data into clear, actionable insights for stakeholders.
