Job Description - PA and Team Coordinator

We are looking for an engaged and driven Personal Assistant and Team Coordinator (PA) to be part of the Grant Management Department (GM) at the Novo Nordisk Foundation headquarter in Hellerup, Denmark. About the department
GM is a department with 25 employees divided in three teams.  The primary responsibility of GM is to establish optimal grant setups that facilitate streamlined granting processes. This encompasses first and foremost efficient administrative grant operations, and the continuous development of existing processes and funding models, thereby making GM a pivotal component of the Foundation’s operations.

The Job

As PA in the GM, you will work closely with the Vice President (VP) of GM. Your main responsibilities as PA is to assist and coordinate the VP’s work to prepare her daily as well as on her long-term objectives.
Your key tasks will be:

  • Calendar management, create structure in the VP’s dynamic and fast paced day
  • Meeting preparation for VP; pre-reads, memos, presentations, minutes, follow-up on actions etc .
  • Support VP in making presentations, writing memos, proposals and other meeting materials
  • Handling correspondence, phone calls, emails, and ad hoc tasks on behalf of the VP
  • Support organisational performance/area planning, incl. onboarding of new colleagues and annual processes
  • Coordinate area meetings by gathering input and setting agendas, and arrange team activities and off-sites with team leads

You will contribute to a well-functioning and positive team environment and culture, and you will also be part of our cross-departmental PA-network, where we share knowledge and experiences, providing a great platform for knowledge sharing, helping each other and optimising ways of working across the Foundation.

Professional and personal qualifications
We are looking for a person with a strong motivation for the PA-role and who has solid communication skills. You have an administrative background or a Bachelor/ Masters in a relevant academic field, and a minimum 3 years of relevant experience as PA or with management support. 
We imagine that you have:

  • Demonstrated experience in delivering professional, high-quality PA services and providing competent sparring to your VP.
  • A structured, detail-oriented, and independent way of working, with the ability to see the bigger picture.
  • Highly skilled within MS 365; working across OneNote, Outlook, and SharePoint as well as Word, Excel and PowerPoint.
  • Used to interaction with many stakeholders at all levels.
  • Excellent communication skills both verbal and written English
