Job Description - Student Assistants for the Events team

The Novo Nordisk Foundation is looking for two Student Assistants to support the activities of our Events Team and the Novo Nordisk Foundation Science Cluster. The Events Team plans and delivers scientific and impactful events that support the Foundation’s strategic focus, working closely with scientific departments and grant holders. The team also manages the Novo Nordisk Foundation Science Cluster and all related events (see sciencecluster.dk). 

The Events Team consists of five full-time employees and two student assistants and is part of the Global Partnerships and Events department. 

As a Student Assistant in the Events Team, you will support the preparation and execution of events, conferences, and lectures, and play an active role in their practical delivery. 

This includes: 

  • Assisting with the planning and execution of a wide range of events and initiatives (conferences, lectures, etc.) in close collaboration with team members 
  • Supporting with event logistics before, during, and after events, such as 
  • Preparing materials, nametags, ordering catering, transport, etc. 
  • Welcoming participants and supporting the practical execution of events, including signage and set-up 
  • Following up with participants and assisting with reimbursement of cost 
  • Communicating with speakers and participants, and supporting travel arrangements 
  • Creating content for our website (ScienceCluster.dk) and event platforms such as Conference Manager, SurveyMonkey, and MailChimp 
  • Handling ad hoc tasks as required 

Working hours are approximately 10–20 hours per week, with flexibility to accommodate your studies. The role also requires flexibility and additional hours during events, some of which may run over several days. 

We are looking for someone who is: 

  • In their second or third year of a bachelor’s degree in communications, event management, or one of the Foundation’s scientific focus areas (e.g. biomedicine, health sciences, biotechnology, bioengineering, or natural sciences) 
  • Highly proficient in English (written and spoken); Danish is an advantage but not required 
  • A super user of the MS Office suite, especially Outlook, Excel, Word, and PowerPoint 
  • Interest in working in a scientific environment is an advantage 
  • Experienced in planning and executing events is an advantage

  • Capable of managing multiple tasks and projects simultaneously
