Type of Appointment: Full-Time, Long-Term Temporary Collective Bargaining Unit: APC - Unit 4Job Classification: Evaluator IClassification Salary Range: $3,609 - $5,079 per monthAnticipated Hiring Amount:$3,609 - $4,099 per monthWork Hours: Monday – Friday 8:00 a.m. – 5:00 p.m.Recruitment Closing Date: January 25, 2023THE DEPARTMENTThe Registrar's Office is responsible for the security, integrity and accuracy of academic records, degree progress and evaluation services and the coordination and implementation of academic policies and procedures with academic departments and colleges.The Registrar's Office conducts all registration activities, oversees articulation agreements with other colleges and universities, processes grades, maintains accurate student records, verifies student enrollment data, monitors academic standing, evaluates transfer credit, certifies enrollment, provides preliminary graduation evaluations, verifies degree requirement completion, and issues diplomas.The Registrar's Office provides counsel to students as they advance from matriculation to graduation. As a core functional area within Enrollment Management & Services, the office plays a leadership role in enrollment management and planning, in conjunction with other campus constituents. The office is responsible for compliance with federal, state, CSU system and University requirements and the timely and accurate dissemination of information to students, parents, campus constituents, the CSU Chancellor's Office, and the external community.DUTIES AND RESPONSIBILITIESEvaluationProcessing academic petitions - primary function of position.Fetching and posting transfer credit work in PeopleSoft and making adjustments when necessary.Evaluating transfer credit and determining equivalency and transferability based on national guidelines, formal articulation agreements, Title V and university policies.Assist in processing preliminary graduation reviews.Assist in evaluating student progress towards degree completion. Provide support to staff, advisors and students in understanding campus policies and procedures. Assist with troubleshooting when appropriate. Maintain knowledge of these policies and registration in order to refer students to the appropriate student services provider.Reviews and applies as appropriate, approved adjustments to academic requirements and student records from associate deans, department chairs and advisors, ensuring compliance with Title V and university requirements.Assist Transfer and Graduation Advisors (TGAs) in identifying and submitting new transfer credit rules to be created in PeopleSoft.Research the appropriate date ranges to be used for transfer credit rules. This involves researching the start and end dates of course articulations in the ASSIST and/or Transfer Evaluation System (TES) databases, hard copy articulation documentation in the department, CPP course catalogs and conferring with the Articulation Officer and/or the TGAs, as needed.Administrative SupportProvide administrative assistance to the department in completing evaluation-related tasks that include:Responding to email inquiries from the general TGA email inboxProvide additional support and customer assistance as needed during peak times (ex registration, graduation clearance).QUALIFICATIONSEquivalent to completion of a formal training program in academic records evaluation OR one year of academic records evaluation experience OR any 12-month combination of training and experience related to academic records evaluation.Knowledge of the format and interpretation of course records and transcripts of institutions of higher education; knowledge of authenticating course credits and comparing records of differing formats, such as foreign records; knowledge of campus curriculum requirements for majors, minors, terminal degrees. And special program designations, and knowledge of application of campus resource guidelines for making determinations using various criteria. Ability to be thorough, consistent and accurate in the interpretation of records against criteria; ability to comprehend and interpret complex regulations or requirements and to apply them in the evaluation process; ability to maintain resources which document and update criteria; ability to explain criteria and evaluations to others; ability to make accurate records; ability to organize work to meet deadlines; ability to safeguard the confidentiality and security of records.Preferred QualificationsFamiliarity with California community college coursesCOVID-19 VaccinationCSU requires faculty, staff, and students who physically access campus facilities or programs to be fully vaccinated against COVID-19, which includes obtaining a COVID-19 booster dose, or declare a medical or religious exemption from doing so.
