We are looking for a Workplace Assistant to be the heartbeat of our Helsinki office. In this role, you’ll be the go-to person who makes sure everything runs smoothly—whether it’s ordering coffee and fruit, setting up for company events, or helping colleagues with everyday questions.

This is not just an office job—it’s about bringing good vibes, solving problems on the spot, and making sure our workplace feels like a great place to be.



This position will initially be offered on a 6-month contract, with a strong likelihood of becoming permanent.

Your mission

• Ensure the office environment is running smoothly and feels welcoming.
• Support the management team with various requests such as restaurant bookings, catering orders, and other ad hoc inquiries.
• Serve as the point of contact for our travel policy and company cars.
• Oversee equipment and systems (reporting issues when needed).
• Handle office supplies, including ordering coffee, tea, fruit, soft drinks, etc.
• Support onboarding by introducing new hires to safety procedures, office routines, and facilities.
• Act as a first point of contact for everyday employee questions and requests.
• Manage incoming and outgoing post and deliveries.
• Liaise with the landlord regarding office updates, renovations, or safety issues.
• Organize and set up company events and “All Hands” meetings (refreshments, seating, decorations, etc.).
• Contribute to HR activities as part of the HR team.

Start date: Upon agreement

• Previous experience in office administration, reception, or workplace support is an advantage.
• Interest in cost-awareness (e.g., comparing suppliers for office needs).
• Strong problem-solving skills with a service mindset.
• Fluent in Finnish and English (both required).
• Driver’s license is a plus.
