Job Description - Head of Coordination & Communication to Indutra... Life Science · Kista · Hybrid Remote

The two Business Areas Technology & System Solutions and Life Science within Indutrade are looking for a shared resource to manage external and internal communication, internal planning, and coordinate events, meetings and travels.

The coordinator will act as a liaison between the Business Area Head and both internal and external stakeholders. The communication part includes work with the Indutrade Portal, LinkedIn accounts, Power Point presentations and other messages. The work also includes internal planning using Teams, coordinate MD events and cluster meetings, as well as visits, other meetings and travels. Some part of the work will be of more administrative character and some more creative and text/graphic oriented.

You will be an important link within two growing and dynamic Business Areas placed in one common module in the headquarter of Indutrade in Kista.

Business Area Life Science

The Business Area Life Science includes both technical trading companies and companies with proprietary products within the Pharma & BioTech, MedTech & Healthcare and Food & Beverage industry. The companies sell production equipment, system solutions, components, medical technology products, consumables and services. The Healthcare business can be tender based and covers both the private and public sectors including products for diagnostics in lab and research to medical care.

The business area consists of 32 companies in most parts of Europe as the Nordic countries, UK, Irland, Benelux, Schweiz, Italy, Polen and the Check Republic. The turnover is 6,1 billion SEK with a strong EBITA of 18%. The ambition is to continue grow through organic growth and several acquisitions each year.

The Business Area is organised in five Business Segments with a Business Leader for each segment. The central team includes a business controller, a financial controller, a M&A manager, two Sustainability resources, and shortly a HR responsible and this Communication and Coordination role. The organisation is international, but most of the supporting roles are placed in Kista.

About the job

This role plays an important role in supporting the business area heads with managing communication channels, creating both internal and external presentations, organizing and coordinating events and travels, and other administrative tasks to ensure an efficient workflow in the internal processes within the BAs.

The role responsibilities can vary from time to time dependent on the needs in the business areas. The role will give a large international network both within the business area and across the Indutrade Group. The environment is dynamic and entrepreneurial, and the BAs are continuously growing through acquisitions.

This role requires a keen eye for detail, strong organizational and communication skills, and the ability to work collaboratively with various people to achieve business objectives.

The head of Coordination & Communication in the Business Area reports directly to the BA Heads.

Key tasks and responsibilities

Communication Management:

  • Responsible for the internal communication flow with our portfolio companies as well as with the parent company Indutrade AB and other business areas.
  • Support the business area head in creating both internal and external reports and presentations, ensuring clarity and consistency in our communication.
  • Designated internal communications ambassador of the Indutrade Portal, and part of a network of ambassadors from across the Group. This includes keeping the business area information on the platform up to date, regularly write and publish, news, job opportunities and various documents from our business area on the Portal and BA LinkedIn accounts.

Organize and coordinate events and travels:

  • Book, plan and participate in different conferences, meetings and other events within the business area and coordinate onboarding of new MDs and other key roles.
  • Support in travel arrangements, bookings and administration related to business area management roles.
  • Administrative support and coordination of planned trainings, often in collaboration with external training providers

Administrative Support:

  • Act as a liaison between the Business Area Head and internal/external stakeholders.
  • Keep contact details for our companies and key persons in the business areas and be the contact person for related suppliers, e.g. travel agencies, bookkeeping company.

Profile of candidate

Experience:

  • At least five years’ experience from a coordination or administrative role
  • Similar positions in an international environment
  • Background in working with communication management.
  • Skills:
  • Working proficiency in Office programs and collaboration tools and an interest in smart digital work tools
  • Good communication skills
  • Exceptional organizational and multitasking abilities, structured and attentive to details and experienced in establishing routines and structure as needed.
  • Good at driving own projects and working with different topics in parallel.
  • Characteristics:
  • Positive, self-motivated and solution-oriented mindset
  • Curious and keen to learn and evolve.
  • Ability to communicate and interact with people at all levels and create networks and relations.
  • Proactive in the way of working and drives change and improvements.
  • Willingness to get involved and assist and support as and when needed.
  • Ability to work independently and collaboratively in a dynamic environment where intensity and workload may vary.
  • Language Proficiency:
  • Working proficiency in English (additional languages may be an advantage)
