Job Description - Remote Executive Assistent at new Human-Centered Social Network Startup

JOB BRIEF

We are looking for a competentExecutive Secretaryto support high-ranking officials in our startup. You will be the one to organize and maintain the executive’s schedule and assist them by performing a variety of administrative tasks. As an Executive Secretary, you must be pro-active and have great time-management and multitasking abilities. It is with your diligence and competence in your work that our executives can focus more on their managerial responsibilities. The goal is to contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried out timely and efficiently.

RESPONSIBILITIES

  • Maintain executive’s agenda and assist in planning appointments, organizing meetings, followup on important internal communication in Email, Slack, Asana, etc.
  • Attend remote meetings and keep minutes
  • Handle and prioritize all outgoing or incoming correspondence (e-mail, messages, etc.)
  • Handle confidential documents ensuring they remain secure
  • Provide assistance in bookkeeping (at a later date)
  • Maintain electronic records ensuring information is organized and easily accessible

REQUIREMENTS AND SKILLS

  • Proven experience as an executive secretary or similar administrative role
  • Proficient in MS Office and “back-office” software (e.g. ERP)
  • In-depth knowledge of remote office management and basic accounting procedures as well as technical vocabulary of relevant industry
  • Excellent organizational and time-management skills
  • Outstanding communication and negotiation abilities
  • Integrity and confidentiality
  • Degree in business administration or a relative field
