Objectives and Responsibilities
The Crew Employment Administrator works under the direction of the Crew Employment Specialist to assist with all aspects of Crew Employment, Crew Management and Human Resources as required.
Excellent written and verbal communication skills essential. Fluent in the English language –
written and
spoken; working experience in French also preferred. The Crew Employment Administrator must ensure
all affected parties are continually included and updated.
Ability to work with Microsoft Office – Word, Excel, Outlook, PowerPoint, Visio, SharePoint.
Accuracy and attention to detail, acting with patience and empathy whilst dealing with crew and
colleagues.
Flexibility is essential with all aspects of this role. The Crew Employment Administrator must
understand the merits of others perspective and be willing to modify a strongly held position in
the face of contrary evidence.
Ability to work under pressure often juggling an assortment of tasks and priorities.
Able to assume responsibility and ownership for the assigned tasks and see them through to
completion.
With a positive and supportive attitude, work in collaboration with managers and colleagues to
ensure smooth and safe operation of the yachts from a crew perspective.
Crew Employment and General Operational Support
Working closely with the Crew Employment Specialist to assist with all the administrative tasks for the crew employed across the entire Hill Robinson Fleet.
•
Assist with onboarding / offboarding of all new crew.
o
Issuing New Starter Packs and supporting crew throughout the onboarding process.
o
Updating Bamboo (or alternative HR software) to onboard and offboard crew.
Crew Employment and General Operational Support
o
Checking and uploading (to HRclick) crew certification as may be required.
o
Offboarding departing crew (including assisting yacht managers termination tasks and calculations).
o
Produce regular Crew Turnover reports as required.
•
Bamboo (or alternative HR software) maintenance and housekeeping of records, tasks outstanding etc..
•
Templates – creation and maintenance of standard approved templates in Bamboo (or alternative HR software).
•
Job Descriptions – assist with updating and developing job descriptions for all crew working with yacht managers and captains as may be required.
•
Crew Appraisals – assist with updating and developing fleet appraisals / personal development cycles as necessary as well as assisting yacht managers with overseeing the review/appraisal process as may be required.
•
Reports – prepare reports to monitor salaries, benefits, training packages etc. with view to creating/updating “industry standards”.
•
Analyse onboarding and exit interviews to identify trends and report to appropriate stakeholders.
•
Assist other colleagues as required from time to time. This may include assist yacht managers and administrators if required and reception duties etc.
Working closely with the Crew Employment Specialist:
•
Give positive feedback to help improve and develop the systems in place (manual, Bamboo etc.).
•
Assist with the implementation of systems and agreed processes with the relevant users, providing training and procedures to crew and Hill Robinson staff as required (e.g. Bamboo HR and payroll).
Wellbeing and Community
Under the direction of the Crew Employment Specialist:
•
Liaison for ISWAN 24/7 Helpline administration (with ISWAN, Yacht Managers and Compliance).
•
Development of crew engagement surveys and feedback, reporting on results to appropriate stakeholders and implementing actions as may be required.
•
Development of crew welfare programs, resources and events in collaboration with appropriate department personnel.
•
Overseeing proactive involvement with industry partners for the development of mental health and wellness.
•
Ongoing research and development into wellbeing and community programs such as mentorships, volunteer and fundraising campaigns.
•
Research crew initiatives and opportunities in relation to ecological and environmental protection.
