Executive Assistant & Office Manager (m/w/d) 


Michels Trenchless GmbH in Wiesbaden is part of the family-run Michels Group of Companies from Brownsville, Wisconsin with 8,000 employees and approx. USD 4 billion in annual sales. Michels plans and builds (large-scale) projects for the energy infrastructure of the future and is committed to providing the safest and most reliable solutions for the world's growing energy and infrastructure needs.


We are seeking an experienced, proactive professional to support our leadership team while ensuring smooth day‑to‑day operations of our office. The ideal candidate has around five years of experience in executive support, thrives in a fast‑paced environment, and is comfortable managing high‑volume calendars, emails, and competing priorities.


Key Responsibilities:


Executive Assistant (50%)



  • Provide high‑level administrative support to senior leadership, including complex calendar management, meeting coordination, and travel arrangements.

  • Manage high volumes of emails, prioritizing, flagging, and following up as needed to ensure timely responses and smooth workflow.

  • Act as a trusted partner by anticipating needs, solving problems proactively, and enabling executives to stay focused on strategic priorities.

  • Coordinate internal and external communication on behalf of the executives, ensuring professionalism and clarity.


Office Management (50%)



  • Oversee daily office operations to maintain a smooth, organized, and welcoming work environment.

  • Manage office supplies, equipment, and facility needs, including maintenance, deliveries, and space planning.

  • Serve as the central point of contact for office vendors, suppliers, and building management.

  • Manage incoming and outgoing mail, including distribution, logging, and coordination with courier services.


 


Your Profile



  • 3-5+ years experience in a similar busy EA role within a relevant fast-paced professional envrionment.

  • Strong organizational skills with the ability to handle pressure, multitask effectively, and prioritize in a fast‑paced environment.

  • Full professional fluency in German and English (written and verbal).

  • Confident, direct communicator who can advocate for and protect the executive’s priorities when necessary.

  • Proactive, reliable, and able to maintain confidentiality and professionalism at all times.

  • Proficiency in Microsoft 365, including Outlook, Teams, Word, Excel, and PowerPoint.

  • Familiarity with Adobe tools (e.g., Acrobat) and strong working knowledge of SharePoint and other collaboration platforms.
