JOB DESCRIPTION

Der HR Coordinator unterstützt den HR Manager über die verschiedenen Geschäftsbereiche von NBCUniversal in Deutschland, Österreich und der Schweiz hinweg. Die Rolle ist in ihrer Ausprägung sehr vielfältig und umfasst die Bereitstellung einer erstklassigen Personalverwaltung sowie operativer und systembezogener Unterstützung für Mitarbeitende. Diese Position fungiert als erste Anlaufstelle für alle HR-bezogenen Anfragen und ist dafür verantwortlich sicherzustellen, dass die Personalverwaltung sowie alle Anfragen professionell, effizient und zeitnah bearbeitet werden.

VERANTWORTLICHKEITEN:

Recruiting und Onboarding:

• Enge Zusammenarbeit mit dem Talent-Acquisition-Team sowie Vorbereitung des Systems („SmartRecruiters“) zur Ausschreibung neuer Stellen, Erstellung von Stellenbeschreibungen und Initiierung von Background Checks
• Erfassung und Bearbeitung von Neueinstellungen in SAP/HR-Systemen
• Steuerung und Organisation sämtlicher Onboarding-Aktivitäten
• Klärung und Verwaltung aller Unterlagen zum Thema Visum und Arbeitserlaubnis

HR Prozesse:

• Bearbeitung aller monatlichen Payroll-Änderungen (einschließlich Ein- und Austritte),  enge Zusammenarbeit mit der Gehaltsabrechnung und Sicherstellung stets aktueller und korrekter Informationen
• Datenpflege im System, Bearbeitung von Workflows und Dokumentation aller Personalmaßnahmen im Mitarbeitenden-Lebenszyklus
• Erstellung und Pflege der Personalakten sowie Archivierung der Unterlagen
• Organisation, Durchführung und Dokumentation von Austritten und Offboarding-Prozessen einschließlich Exit-Interviews
• Pflege und Aktualisierung der HR-E-Mail-Verteiler, Organigramme und Mitarbeitenden-Kontaktlisten
• Unterstützung bei der Einführung von Programmen (z. B. Performance-Review-Prozess, Talent Review, Gehaltsplanung, Benefits-Anmeldungen, Praktika, Trainings, jährliche Erklärungen, usw.)
• Umsetzung lokaler HR-Richtlinien sowie Unterstützung bei deren Entwicklung und Einführung
• Unterstützung bei internen und externen Versetzungen sowie bei Anträgen auf mobiles Arbeiten
• Nutzung von HR-Systemen zur Erstellung von Reports und Bereitstellung von Daten für den HR Manager und Führungskräfte
• Verwaltung von Rechnungszahlungen (einschließlich Lieferantenmanagement) sowie des Vertragsunterzeichnungsprozesses

Betreuung Mitarbeitende:

• Unterstützung der Mitarbeitenden bei Anfragen rund um die Themen Benefits, Gehaltsabrechnung, Urlaub, Krankmeldungen, Arbeitszeugnisse, usw. oder Weiterleitung an die zuständigen Ansprechpartner
• Unterstützung bei Fragen zu Sozialversicherung, Krankenversicherung und Lohnsteuer in Zusammenarbeit mit den zuständigen internationalen Payroll-Spezialisten
• Erste Anlaufstelle für alle Mitarbeitenden und enge Zusammenarbeit mit verschiedenen Abteilungen zur Bearbeitung und Lösung deren Anliegen

Mitarbeiter-Engagement:

• Unterstützung bei der Konzeption und Organisation von Employee-Engagement-Initiativen im Einklang mit der Engagement-Strategie von NBCUniversal

JOB DESCRIPTION – The HR Coordinator will support and assist the HR Manager across the different businesses of NBCUniversal in Germany, Austria and Switzerland. The role is truly varied in nature and is responsible for delivering first-class employee administration, operational and systems support to employees. This role is the first point of contact for all HR related queries and will be accountable for ensuring that all HR administration and enquiries are addressed in a professional, efficient, timely manner.

KEY RESPONSIBILITIES:

Recruiting and Onboarding:

• Partner with the Talent Acquisition team and prepare the system ("SmartRecruiters") to post new roles, prepare job description and initiate background checks
• Process new hires in SAP/HR systems
• Manage all onboarding activities
• Track and capture all visa and immigration related documentation

HR Processes:

• Process all monthly payroll changes (including starters and leavers) and work closely with payroll to ensure they have up to date and accurate information
• Process any system data changes, workflows & paperwork for employee life cycle events such as promotions and transfers
• Create and maintain HR folders and Archive of HR Admin documentation
• Organize, conduct and maintain data on leavers and offboarding incl. exit interviews
• Accurately maintain and update employee database (SAP and HR systems) and employee records
• Maintain and update all HR email distribution lists, organizational charts as well as relevant staff contact lists
• Assist in any program roll outs (i.e. performance review process, talent review, salary planning, benefits enrolment, internship programs, trainings, annual declarations, etc.)
• Administer local HR policies, assist with development and launch
• Support in managing internal and external relocations, and remote working requests
• Use HR systems to provide reports and data to HR Manager and business leaders
• Administer invoice payments (incl. vendor management) and contract signing process

Client Services:

• Provide support on queries from clients including, but not limited to benefits, payroll, holiday, sick leave, employee reference requests or redirect clients to appropriate contacts
• Provide support for all questions regarding social security, health insurance, payroll taxation in liaise with designated international payroll specialists
• Act as the first point of contact to all employees, while cooperating with different stakeholders to manage and resolve day-to-day employee issues

Employee Engagement:

• Provide support on designing and organizing Employee Engagement initiatives in alignment with the NBCU Engagement strategy
• Act as an ambassador of our NBCU inclusive culture, support Inclusion initiatives in collaboration with the local Inclusion committee
• Plan logistics for employee meetings or training, including room reservations and technology set-up

FÄHIGKEITEN UND ERFAHRUNGEN:

• Erste Erfahrung in einer administrativen HR- oder Payroll-Funktion mit Bezug zu Deutschland (Österreich und Schweiz sind von Vorteil)
• Ausgeprägte organisatorische Fähigkeiten mit einer strukturierten und detailorientierten Arbeitsweise
• Fundierte Kenntnisse in MS Office, insbesondere Excel, PowerPoint und Word
• Hervorragende Kommunikationsfähigkeiten (schriftlich und mündlich) in Deutsch und Englisch

Wünschenswert (aber nicht zwingend erforderlich):

• Erfahrung in der HR-Administration oder in Prozessen rund um den Mitarbeitenden-Lebenszyklus
• Erfahrung in der Zusammenarbeit mit oder Unterstützung von Gehaltsabrechnungsprozessen
• Verständnis von HR-Praktiken und -Prozessen, idealerweise in einer Matrixorganisation
• Erfahrung im Umgang mit HR-Systemen wie SAP HCM/SuccessFactors

KEY SKILLS AND EXPERIENCE:

• Proven experience in an administrative, coordination, payroll or HR role supporting Germany (Austria and Switzerland are a plus)
• Strong organisational skills with a methodical and detail-oriented approach
• Solid knowledge of MS Office, including Excel, PowerPoint and Word
• Excellent communication skills (written and verbal) in German and English
• A proactive, flexible approach with the ability to work autonomously
• Strong customer service mindset, with a focus on delivering a high-quality employee or stakeholder experience
• Ability to handle sensitive and confidential information with professionalism and discretion
• Comfortable working in a fast-paced, dynamic and evolving environment while maintaining a calm and professional manner
• A solutions-oriented mindset with curiosity and a willingness to learn and continuously improve processes
• Demonstrates initiative in adopting AI tools to enhance day-to-day work

Desirable (but not essential):

• Experience in HR administration or exposure to employee lifecycle processes
• Experience working with or supporting payroll processes
• Understanding of HR practices and procedures, ideally within a matrix organisation
• Experience using the HR systems SAP HCM/SuccessFactors
