Arbeitsbeschreibung - Personal Assistant to the CEO (m/f/d)

Merantix Momentum is a Berlin-based AI startup focusing on accelerating AI adoption across many industries through B2B solutions as well as Publicly Funded Research Projects. We work across several domains including automotive, manufacturing, retail, healthcare and many more, and transform businesses as an external machine learning department using our core expertise in state-of-the-art machine learning combined with our culture of rapid iterations to build scalable solutions.

As a Personal Assistant at Merantix Momentum, your primary responsibility will be to work closely with the CEO, ensuring their day-to-day operations run smoothly. You will proactively solve problems, manage schedules, coordinate tasks, and streamline workflows, allowing the CEO to focus on strategic priorities. Your role is essential in enhancing efficiency, maintaining organization, and ensuring the seamless execution of key initiatives.

These will be your main responsibilities:

  • Act as the CEO’s go-to person for organizational assistance, thinking critically and moving quickly to present solutions as challenges arise; 

  • Manage the CEO’s calendar, ensuring engagements, tasks, activities and other commitments are up-to-date, well-balanced, and effectively prioritized;

  • Communicate on the CEO’s behalf, being able to answer questions, relay key information, and interface effectively with diverse stakeholders in both English and German across multiple communication channels; email, Slack, phone, messaging apps, in-person, etc;

  • Assist the CEO with admin and operational tasks including but not limited to; coordinating travel and accommodation, tracking expenses, handling paperwork, event registration, etc;

  • Collaborate with relevant team members and stakeholders both at Merantix Momentum, as well as among the teams of the other organizations the CEO is involved with;

  • Organize and streamline workflows, information flows, tasks, and activities to simplify the CEO’s day-to-day, empowering them to save time and balance work-life commitments;

  • Help the CEO ad-hoc with relevant tasks/events as they arise.

The ideal candidate loves to get into the nitty-gritty of organization, is comfortable working in a fast-paced environment, and truly enjoys helping make their teammates’ lives simpler and easier. They will bring excellent skills in order to manage complexity, streamline workflows, and reduce administrative and operational burdens for the CEO. 


You are a great fit for our team if you:

  • Comfortable working transversally to assist the CEO across varied professional and personal tasks;

  • Proven track record of organizational excellence in dynamic, fast-moving environments and entrepreneurial space;

  • Proven track record of success in a personal assistant (or similar) role; 

  • Highly competent organizational abilities and familiarity with time and task management tools;

  • Able to work in person in Berlin;

  • Fluent in English and German;

  • Expertise with Google Suite, Slack, Microsoft Office, and other common business software.

  • Exposure to high-level topics: This role works closely with our CEO who engages on a regular basis in high-level decision-making with diverse and interesting stakeholders across the private, public and academic sectors.
