Office & Administrative Support
• Coordinate travel arrangements (flights, visas, A1 certificates, visitor itineraries, taxis, car hire, hotels, restaurant bookings).
• Manage purchasing and stock of office supplies.
• Oversee office services, including invoice processing.
• Organize conference room bookings, prepare meeting spaces, arrange catering, and ensure rooms are tidy post‑event.
• Perform reception duties and provide administrative support to all departments.
• Maintain office facilities to a high standard (flowers, coffee machines, waste management, cleaning services).
• Plan and execute team events such as Christmas celebrations, summer gatherings, and lunch & learn sessions.
• Ensure every visitor to Zeeco Germany enjoys a professional and welcoming experience.
Project Support for Sales & Execution
• Assist with sales activities and preparation of standard service and spare parts tasks.
• Support profitability by preparing travel and spare parts offerings ahead of service visits.
• Coordinate freight forwarding for office and project needs in collaboration with UK/IT logistics teams.
• Prepare document cover sheets and transmittal notes for submissions.
• Maintain accurate document records and ensure compliance with internal procedures.
• Follow project-specific numbering and revision requirements.
• Expedite documents from clients, suppliers, and internal teams to meet project deadlines.
• Work with Quality, Purchasing, Manufacturing, and sub-vendors to compile manufacturing record books.
• Use tools such as ZOE, SAGE, and the company’s Quality Management System.
• Assist in compiling operating and maintenance manuals.
• Collaborate closely with the project team to ensure documentation is complete and projects are delivered on time and within budget.
