As Office Operations Manager, you'll be the backbone of our day-to-day office operations and the person who keeps everything running smoothly even when things get busy.
This is a hands-on role in a fast-paced environment: you'll be balancing planned projects with spontaneous requests that need to be handled on the spot. It is the exact opposite of monotonous and will give you lots of opportunity to get creative and bring ideas. Aside from the operational duties, you also make sure our people feel genuinely at home in the office.- Own and optimize office operations, including procurement processes, supplier management, and inventory control
- Ensure the office, workspaces, kitchen, and common areas are always well-organized, well-maintained, and fully functional
- Handle day-to-day operational tasks such as receiving deliveries, coordinating larger orders, minor repairs, and organizing storage areas
- Juggle multiple ongoing tasks in a high-paced environment, while staying ready to jump on spontaneous, ad hoc requests and knowing how to prioritize on the fly
- Collaborate closely and continuously with IT, Finance, and People teams to ensure efficient, compliant processes
- Support Onboarding and Offboarding processes together with People Ops and IT
- Act as the central point of contact for external partners such as suppliers, insurance consultants and landlords
- Analyze office usage and costs, identify opportunities for optimization, and support reporting these
- Ensure compliance with health, safety, and security regulations
- Plan and organize internal events, and contribute to employee engagement and sustainability initiatives
- Stay flexible and adaptable as priorities shift, adjusting plans and approaches as the business needs evolve

- Excellent written and spoken German (minimum C1 level) and English; additional European languages are a plus
- Strong organizational skills paired with a structured, reliable, and solution-oriented way of working
- A proactive attitude and positive energy that helps create a motivating and pleasant office atmosphere
- High resilience to stress and pressure, with the ability to stay calm, keep a clear overview, and juggle competing priorities in a fast-moving, high-paced environment
- Comfort with ambiguity and spontaneous requests; you know how to quickly assess what's urgent and adjust your plan accordingly
- A collaborative mindset: you're used to working cross-functionally with multiple teams and stakeholders. Being a natural connector who communicates clearly across different stakeholders is key.
