Join our dynamic IT Portfolio Management team, empowering and guiding our delivery organization to create value. You support the EEX IT Executive Office through the reliable ownership of core administrative, bureaucratic, and governance‑related processes. With a strong focus on time and workforce administration, process documentation, compliance, and system integrity, you ensure stable and transparent operations across the organization. As a trusted process owner, you maintain structured workflows in SAP and related tools, support employee and IT administrative processes, and provide continuity during organizational or tooling changes. Through disciplined execution, deep procedural knowledge, and a collaborative mindset, you contribute to operational excellence and long‑term stability within the IT Executive Office.
Your tasks:
- Own and manage time-related administrative processes for internal and external staff, including time booking structures, working time records, and related governance
- Ensure compliance with company policies and labor regulations covering working hours, holidays, sickness, shift planning, and overtime
- Support stable system usage through structured maintenance and documentation
- Maintain and continuously improve standardized administrative processes, ensuring clarity, consistency, and audit readiness
- Own process documentation, guidelines, and FAQs, supporting transparency, knowledge continuity, and stable operations across teams
- Manage and document employee-related administrative workflows, such as reimbursement, travel, and expense processes, in alignment with internal controls and policies
- Serve as a procedural point of contact for questions related to these administrative processes
- Oversee administrative processes related to non-strategic IT goods, services, and tools, ensuring adherence to IT and procurement standards
- Manage subscriptions and access administration for platforms and tools (e.g., knowledge or content platforms), ensuring controlled and transparent usage
- Support the implementation and adoption of new tools, processes, or organizational changes affecting multiple teams by providing structured administrative and documentation support
- Ensure operational continuity during transitions through reliable process ownership and institutional knowledge
- Contribute to the reliability, continuity, and efficiency of IT Executive Office operations through disciplined execution and experience-based process ownership
- Actively support collaboration, knowledge sharing, and a stable team operating model

Your skills:
- Several years of professional experience in administration, operations, PMO, workforce administration, HR operations, or a comparable support function
- Proven experience managing and improving administrative processes, documentation, and governance-related activities
- Experience working with SAP and other enterprise tools; strong affinity for systems and data quality
- Good understanding of workforce administration, and employee-related administrative processes
- Strong organizational skills with a structured, reliable, and detail-oriented mindset
- Excellent communication and stakeholder management skills, with the ability to collaborate across teams and seniority levels
- Proficiency in Microsoft 365, particularly Excel, PowerPoint, Outlook, Teams, and SharePoint
- Knowledge of Jira and Agile methodologies is a plus
- Fluent English required; German and/or French is a strong plus
