Job Description - Engineering Administrator

Scope Of Position

The Engineering Administrator is responsible for the overall administration of the engineering department. Creates and maintains a well-structured filing system. He/She is responsible for the raising and purchases materials and outsourced companies and keeps up to date the record of all costs. He/She manages and maintains departmental software systems.

Duties & Responsibilities:

  • Monitors daily operation workload and allocates jobs as required to in-house staff or outside companies.
  • Runs and manages workload tracking system and reports to ensure work orders are being managed.
  • Updates the chief engineer on a regular basis on work reports.
  • Manages small projects and programs that have been requested from departmental walkabouts etc.
  • Manages PRP program, ensures rooms are allocated to PRP team and that all checks are filed and up to date.
  • Raises all departmental purchase orders and maintains a record of all monthly costs and accruals in accordance with the hotels purchasing policies.
  • Chases up any outstanding ordered materials and services.
  • Checks receive all departmental goods and services.
  • Attends and prepares engineering meeting minutes.
  • Answers the telephone and communicates verbally with authorities’ representatives, contractors, and guests in a professional manner.
  • Maintains a well-structured filing system for contracts, vendors, contractors, and general communication.
  • Carries out any other reasonable requests as directed by your manager.

Qualifications/Experience:

  • Experience on similar role is important.
  • Must have good computer skills and user friendly of Excel, Microsoft words and Power points.
  • Must demonstrate co-operation and trust with colleagues in his/her own team and across departments and works well as a team player to achieve results.
  • Good composure required to handle pressure and always remains calm. Can solve problems calmly and effectively.
  • Speaking, writing, and reading English and Greek language.

Health And Safety:

  • Is aware of, and complies with, safe working practices as laid down under the Health and Safety Local code and Company H & S Manual, as applicable to your place of work. This will include your awareness of any specific hazards at your workplace
  • Is aware of and complies with Food Acts.
  • Wears any appropriate protective clothing provided by or recommended by the Resort.
  • Reports any defects in the building, plant, or equipment according to the Resort procedures.
  • Ensures any accidents to colleagues, guests or visitors are reported in accordance with Resort procedures.
  • Attends 6 monthly statutory fire training and is fully conversant with and abides by all rules concerning, fire, health & safety.
  • Attends any training deemed appropriate by your Head of Department.
  • Any other reasonable request as required by your manager appropriate for this position and complies with all the MOHG policies and procedures.
