On behalf of our client, we are seeking a highly organized and proactive Executive PA to support the UBO in managing both professional and personal responsibilities efficiently.
You will provide high-level administrative and personal support, ensuring smooth day-to-day operations. This role involves managing the UBO's schedule, coordinating meetings, handling confidential information, and performing various administrative tasks to facilitate the UBO's professional and personal activities.
Job Description
- Maintain and manage the executive's calendar, scheduling appointments, meetings, and travel arrangements
- Prioritize and coordinate meeting requests, ensuring optimal time management
- Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries for the UBO and their family if required
- Serve as the primary point of contact between the UBO and internal/external stakeholders
- Screen and prioritize emails, phone calls, and correspondence
- Draft, edit, and proofread documents, presentations, and reports
- Plan and coordinate meetings involving the UBO, including preparing agendas, materials, and minutes
- Handle confidential information with utmost discretion
- Manage UBO's files, records, and documentation
- Perform general administrative tasks such as filing, photocopying, and ordering office supplies
- Assist the UBO with personal tasks and errands, including household management, event planning, and coordinating personal appointments
- Manage personal projects and tasks as directed by the UBO
- Build and maintain positive relationships with internal and external stakeholders
- Liaise with other departments and individuals to facilitate communication and collaboration
- Reminding the UBO of important tasks and deadlines
- Perform other miscellaneous tasks
- Assist the UBO and management team with operational issues
Your Profile
- Minimum of 3 years of experience as an Executive Assistant, Personal Assistant, or in a similar role supporting high-level executives or individuals
- Any qualification would be considered an advantage
- Discretion and trustworthiness, will often be part of confidential information
- Exceptional organizational and time management skills
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
- Ability to work independently and handle multiple tasks simultaneously
- High level of professionalism and discretion
- Strong attention to detail and problem-solving skills
- Comfortable managing both professional and personal tasks
- Familiarity with handling personal and confidential matters
- Ability to work flexible hours and occasionally travel as required
- Valid driver’s license and reliable transportation
