Job Description - Office Administrator

MOTABAQAH is one of the largest companies in the Kingdom of Saudi Arabia in the Testing, Inspection and Certification business. MOTABAQAH Europe, located in Athens was incorporated in 2022 and handles all European operations relating to Certification.  Our goal is to facilitate and enable European exporters to access the Saudi Market.

Responsibilities 

  • Maintain constant communication with managers, staff, and vendors to ensure proper operations of the company
  • Book travel arrangements for executive staff such as booking flights, cars and hotels
  • Create & manage budgets and forecasts
  • Track staffing requirements, hiring new employees as needed
  • Help the organization’s processes remain legally compliant
  • Is able to work closely with the finance team to track and manage office budgets
    and expenses, with an understanding of the requirements of the Greek tax
    authorities.
  • Responsible for the collection of invoices, expense reports, the making of
    payments, and the communication of all monthly documents in a timely manner
    to the company’s accountants.
  • Provide support to the sales department ensuring efficient operation of office
  • Manages day-to-day administrative tasks, including handling correspondence,
    phone calls, and emails. Is the first point of contact for clients and collaborators
    online, as well as in person in the office.
  • Is the first internal point of contact for employees relating to any payroll or HR
    issues. Relates matters to the right person and keeps management duly
    informed.
  • Other duties as assigned

Qualifications, Skills & Education

  • Communication written & verbal is conducted in English, therefore excellent knowledge of the English language is mandatory.
  • Proficient in Microsoft Office and Google online platforms (Google Doc, Google
    Spreadsheets, Google Drive etc.).
  • Has at least 3-4 years work experience in a similar position.
  • Good and pleasant communication skills.
  • Experience with administrative and clerical work, Bachelor’s degree will be considered a plus
  • Know how to prioritize and manage multiple tasks simultaneously
